Summary The Parts Counter Person is a vital and valued member of the Parts Department staff. The Retail Parts Specialist will ensure that customers receive the best-possible customer service, and prompt and accurate information regarding their needs. Responsibilities include verifying parts requested by retail customers, identifying companion parts as needed, locating parts for special orders, providing quotes for customers, and providing back-up support to the Internal Parts Specialists when needed. He/She should have the ability to up-sell the customer by recommending other parts and services that may be of interest to them and must communicate frequently with management, and other staff to ensure efficient work-flow. He/She must promptly respond to calls, emails, and other correspondence, and treat vendors, customers and co-workers with respect.

Primary Accountabilities

Assists all retail customers in selecting required parts in a friendly, professional, and efficient manner.

Informs customers of companion part requirements and specials, and ensures that the customer is exposed to the full product line.

Answers phone calls, providing price quotes and other information.

Pulls and fills orders from stock.

Notifies Purchasing Manager of out-of-stock parts or shop materials that need immediate attention.

Locates special order and out-of-stock parts from outside sources and submits emergency orders, as necessary.

Notifies all necessary parties when special ordered parts have been received.

Follows up on back-ordered parts and replenishes assigned inventory daily.

Verifies will-call and back-order files weekly and returns to vendors, or stocks those items not picked up or required.

Assists outside sales representatives with their orders.

Receives payment from retail customers or obtains credit authorization.

Ensures that all charge sales are signed by the customer and that all customers receive a copy of the invoice.

Provides back up for the Internal Parts Specialists

Completes all required training within specified time-frame

Special projects or other tasks as assigned by Supervisor or other senior leadership

Qualifications that a candidate MUST possess to gain consideration for this position

Minimum 3 years of experience working in a retail parts counter environment

Working knowledge of medium- and heavy-duty vehicles and trailers

Must be a proactive team player with excellent communication skills and a strong sense of commitment to the customer

Ability to maintain a professional image and positive attitude in a fast-paced environment

Must be willing to learn, have good judgment, problem solving skills, and the ability to multi-task

Ability to use a personal computer, a general understanding of Microsoft Office software programs, and the ability to learn other database or proprietary software programs as needed

Must be self-motivated and have good written and verbal communication skills

Must be flexible and adapt to change readily

Qualifications that are WANTED in a candidate

Valid Driver’s License

Good organizational skills

Training/Educational Requirements

High School Diploma or equivalent
