How You'll Contribute Key Responsibilities
Accounts Payable:
Code invoices in the designated processing system according to the general ledger chart of accounts. Ensure all required documentation and approvals are in place. Process and prepare tenant bill-backs accurately and in a timely manner.
Accounts Receivable:
Review tenant account ledgers for payments, late fees, charges, and credits. Submit appropriate paperwork for account adjustments. Initiate collection calls and written correspondence to recover outstanding balances, and document all collection efforts in accordance with established guidelines.
Financial & Reporting Support:
Assist the Property Manager with preparation of monthly reports for clients, including financial summaries and supporting documentation.
Administrative Support:
Maintain organized digital and hard copy filing systems, update service trackers, and keep tenant contact lists current.
Utilities & Service Coordination:
Coordinate with utility providers to set up, transfer, or terminate services as needed.
Insurance Compliance:
Support the Property Manager in collecting and reviewing tenant Certificates of Insurance to ensure compliance with lease and client requirements.
Maintenance & Operations:
Liaise with tenants and vendors to coordinate routine maintenance, repairs, and building services as directed by the Property Manager. Receive work order requests and dispatch to building technicians or vendors accordingly.
Building & Tenant Coordination:
Schedule and oversee building activities, including tenant move-ins and move-outs, ensuring insurance verification and compliance with building policies.
Customer Service:
Provide responsive and professional service to tenants and vendors, handling inquiries and resolving issues promptly.
General Office Support:
Answer phones, manage correspondence, assist with preparation and execution of vendor service contracts, and carry out ad hoc projects.
Work Environment : Regular computer work; may lift up to 25 lbs occasionally; in-office M-F with occasional property visits.
What You'll Bring
High school diploma or equivalent required; associate’s or bachelor’s degree in Business, Real Estate, or related field preferred.
1–3 years of experience in commercial property management, real estate administration, or a related administrative role preferred.
Familiarity with office, industrial, retail, or mixed-use property operations is a plus.
Strong organizational and time-management abilities with the capacity to prioritize multiple tasks.
High accuracy and attention to detail, particularly with financial documents and contracts.
Clear written and verbal communication skills.
Professional and courteous when interacting with tenants, clients, vendors, and ownership.
Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with property management software (Yardi, MRI, AppFolio, or similar) preferred.
Discreet with confidential information; dependable and solutions-oriented.
Strong problem-solving skills and ability to work independently while contributing to a team.
Functional Knowledge
Understanding of commercial leases, rent rolls, certificates of insurance, and service contracts.
Familiarity with accounts payable/receivable and monthly financial reporting processes.
Knowledge of work order management, vendor coordination, and maintenance tracking.
Experience supporting tenant relations, move-ins/move-outs, and service request resolution.
