Proposal Specialist - Phoenix, AZ

Must be on-site Mon-Fri

Must have Construction, engineering, or architecture proposal experience.

The Proposal Specialist plays a key role in the development and coordination of prequalification and bid proposal packages. This position involves managing documentation, organizing project materials, and supporting both internal and external communications to ensure timely and high-quality submissions.

Key Responsibilities

Prepare and submit prequalification and bid proposal packages as requested.

Establish and maintain file structures for project-specific Requests for Qualifications (RFQs) and bid proposals.

Manage all client-provided RFQ documents, company responses, and final submission materials.

Oversee proposal preparation, including scope details, resumes, project lists, organizational charts, and supporting collateral.

Assist in developing deliverable lists, timelines, submission requirements, and coordination responsibilities.

Collaborate with internal teams to design and develop PowerPoint presentations and proposal content.

Work closely with the marketing team to implement tools and procedures ensuring consistent project documentation standards.

Compile and maintain project data for use in press releases, project profiles, case studies, and web or print materials.

Support coordination of media opportunities and trade show schedules with marketing staff.

Qualifications

Bachelor's degree in English, Marketing, Communications, or related field, or equivalent experience.

Minimum 5 years of experience writing, editing, and preparing proposals or technical documentation.

Project management experience preferred.

Strong proficiency in Adobe Creative Suite; InDesign experience required.

Experience with Unanet or Asana is a plus.

Background in service or construction industries preferred.

Excellent project management and time management skills with the ability to meet deadlines.

Strong communication, writing, and proofreading skills.

Ability to multitask and prioritize effectively.

Proficiency in MS Office and MS Visio.
