Air Import Operation Agent
A global freight forwarding and logistics company is looking for a diligent and motivated individual to join our team as the Air Import Operations Agent. This is a role 100% clerical, managing shipping documents, customs clearance, and transportation logistics. You'll play a crucial administrative role in ensuring customers imported goods move efficiently from the airplane to their final destinations on time. This involves precise coordination and data management. Essential duties and responsibilities include but are not limited to: Coordinate shipment transfers by arranging large incoming air shipments to be transferred from the airline's custody to company's designated warehouse ("Container Freight Station" (CFS)). Process payments for fees that airlines charge for using their terminals and make sure these costs are accurately recorded in the company's system. Review and confirm important shipping documents ("Master Air Waybills" (MAWB)), covering many individual smaller shipments. Break down the MAWB document into individual documents for each smaller shipment ("House Air Waybills" (HAWBs)), making sure all the details and costs are correct in the company's system. Process to get all the necessary approvals from customs for each individual package. Track the status of each shipment and report this information to managers. Manage inventory by reviewing lists of items stored at different facilities and share this information with other teams, such as Customer Service, to keep involved parties updated. Initiate the process of filing a claim with the airline if a shipment arrives damaged or items are missing. Share damage information to the relevant operations teams upon the receipt of reports about damaged goods from the storage facilities. Inform your manager or supervisor promptly when there are issues such as delivery delays. Qualifications: WPM over 40 required for efficient data entry and documentation. Familiarity with Microsoft (MS) Office Suite (Excel, Word, PowerPoint). Strong organizational skills, capable of managing multiple documents and tracking various stages of shipments. Demonstrated ability to handle administrative tasks efficiently, including data entry, record-keeping, and processing various forms and documents. Clear and effective communication skills, both written and verbal, to coordinate with team members and external partners like airlines and warehouses. A willingness to learn new systems and processes, as well as adapt to changing priorities in a fast-paced environment. Proficiency with standard office software (e.g., email, word processing, spreadsheets) and the ability to quickly learn our internal freight management systems. Prior experience in the logistics or freight industry is a plus. Candidates with strong administrative backgrounds who are eager to learn and grow within the logistics industry are welcome.
