Job Description
Responsible for the Closed Sale for Ford Motor Credit. The Commercial Services Specialist ensures accurate and efficient preparation of vehicles for sale by coordinating paperwork, filing vehicle records, and performing data entry. Perform data entry of vehicle identification number (VIN) and other descriptive information into the AS 400 system. Manage account relationships, maintain effective communications, and ensure customer requirements are met. Maintain vehicle files; verify title information, log titles when received, and work with the title department to obtain negotiable titles for assigned vehicles. Work with the posting clerk to ensure completion of reconciliation and application of all vehicle charges in the AS 400 system. Respond to customer inquiries relating to vehicles, provide quality service, and assist in resolving problems. Mail sale packages the day after sale. Pull and update consignment inventory information transmitted by customers, investigate transmission errors, and verify vehicle eligibility for sale. Communicate with the Transportation department to arrange required transportation and obtain condition reports, bills, and other related information. Establish customer vehicle files in the computer system and continuously update them with standardized abbreviations to record vehicle location, condition, and other activities. Seek floor price information from account representatives and enter it into the system. Review, enter, and update vehicle condition report information; pull and print electronic condition reports for customer use. In coordination with account representatives and operations coordinators, prepare sale vehicle run processes including run order, scheduling, and customer notices. Follow up on vehicle preparation for sale by reconciling incoming bills against ordered work/repairs for each account vehicle; contact coordinators or vendors when information is missing or problems arise. Communicate with accounting to balance the sale and perform post‑sale invoicing for accounts receivable. Maintain and update physical vehicle inventory files that document all activities relative to each customer vehicle, ensuring accurate sale processing and closing records. Communicate with Online Operations to prepare assigned vehicles for online programs. Prepare various reports, lists, and handouts such as sales and expense reports, sold vehicle by net amount reports, dealer attendance reports, lot and transportation damage reports, and block summaries. Demonstrate safety commitment by following all safety and health procedures and modeling the required behaviors; actively support all safety activities aligned with Safety Excellence. Perform other duties as assigned by management. Qualifications
High School Diploma/GED and 3 years’ experience in a related field (or equivalent combination). Alternatively, a degree/certification beyond HS diploma/GED or 5 years’ experience in a related field. Ability to work in a fast‑paced environment, receptive to change, and able to multitask. Prior clerical or administrative experience required. Proficient in Microsoft Excel. Commitment to providing excellent customer service. Must be able to operate adding machines and other office equipment (copier, fax machine, etc.). Ability to sit or stand for prolonged periods. Strong communications and organizational skills. Compensation
Hourly base pay rate is $19.57 - $29.38 per hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation, including commission and/or incentive programs. Benefits
Employees are eligible to receive a minimum of sixteen hours of paid time off every month, seven paid holidays, and additional paid time off for bereavement, voting, jury duty, volunteer time, military leave, and parental leave.
