Administrative Specialist II

The Administrative Specialist II performs a variety of secretarial, clerical, and general office assistance duties to support activities of the assigned department. Work involves preparing and maintaining a variety of files and documents, answering telephone calls, greeting the public, and routing communications. Employee is responsible for performing general clerical duties such as preparing photocopies, processing mail, and compiling data for reports. Examples of duties include: Answering incoming calls, greeting visitors and answering inquiries related to the county or specific department, and directing visitors to the correct employee or department as necessary. Processing incoming and outgoing mail; routing mail to the proper recipient. Utilizing computerized data entry equipment and various word processing, spreadsheet, and/or file maintenance programs to enter, store, and/or retrieve information as requested or otherwise necessary; establishing and maintaining files. Maintaining office supply inventories, ordering and distributing supplies as necessary. Regular and punctual attendance required. Filing charts; faxing and copying medical charts as needed. Receiving and processing payments from patients; checking flow sheets for billing. Screening potential clients; checking eligibility of patients; preparing patient charts for the primary care nurses. Preparing shot records; stamping shots needed and transcripts immunizations; filing shot records as necessary. Assisting with entering immunization information on the state website; inputting vaccine data for children and young adults that receive vaccines at the clinic. Performing other related duties as required. Minimum qualifications include a high school diploma or GED and a minimum two years of experience in a related field; or an equivalent combination of education and related experience required. Bilingual in Spanish and English preferred but not required. This is a grant-funded position currently funded through 9/30/2026.
