Responsible for Clinic Network provider patterns and templates in EPIC, including building, maintaining and optimizing EPIC patterns and templates for all providers within the organization that are supported by the Patient Resource Center. WORK HOURS
Typically, Monday to Friday, 7:30 am to 4:00 pm or as needed to meet departmental needs. REPORTS TO
Manager, Patient Resource Center Prerequisites
Bachelor's degree required or four years of relevant experience in a similar role may replace a degree. Three years' experience in healthcare operations, capacity management, scheduling analytics, project/program management or information technology. Qualifications
Experience working with Electronic Health Scheduling System, EPIC preferred. Ability to effectively maintain positive working relationships with other departments, managers/leaders, physicians and other clinicians. Ability to develop, forecast, manage, and analyze complex reports related to patient Access. Excellent customer service skills, both written and verbal. Proficient in Microsoft Office Suite - Excel, Word, PowerPoint, Publisher, Visio. Able to maintain confidentiality. Demonstrates effective organization skills to meet deadlines. Physical/Mental Demands
Works at a computer for extended periods of time. Ability to travel to various departments, including off‑site locations, as needed. This position may require irregular hours to meet program goals and deadlines. Available for consultations as needed during off‑hours. Requires planning, organizing and working on multiple tasks at one time. Tolerates ambiguity in instructions and work situations. Performance Responsibilities
Builds, maintains, and updates the scheduling patterns and templates for all providers within the medical group for all PRC supported departments. Works collaboratively with Providers, Managers, Administrators, Medical Directors, and staff to maintain continuity of scheduling and desired outcomes for utilization management. Evaluates data to make recommendations that improve performance on Appointment Lag and Appointment Utilization while completing Master, Template, Daily, and Guided Schedule build. Maintain visit type modifiers, block types, scheduling subgroups and resources within EPIC. Programs, tests, and maintains physician/resource templates for scheduling as well as troubleshoots system issues and escalates when appropriate. Assesses overall scope of scheduling requests and deliverables to identify system impacts and estimates for level of effort. Provides proactive guidance around schedule changes and design to optimize use of provider schedules. Provides as needed training to users for system/template capabilities and developing requests/changes to schedules when appropriate for improved outcomes. Serves as the primary resource for communication to clinics for correct and right fit scheduling. Notifies scheduling team of template availability or template closure. Maintains scheduling guidelines by medical group by provider and service line. Fulfills schedule request quickly and accurately, consistently seeking opportunities to utilize best practice strategies and techniques to all schedules. Adheres to Guiding Principles for ensuring all schedules meet Access guidelines and report inconsistencies as well as unauthorized use of templates. Documents/tracks and manage scheduling requests and issues reports to manager. Participates in scheduling system testing and validation. Supports new practice and physician set‑up such as master schedule development, protocols, and scheduling questionnaires. Special Projects as assigned by leadership that support process improvement initiatives focused on streamlining scheduling operations and meeting organization performance goals. Other duties as assigned.
