Description Job Purpose:

The Donor Relations Coordinator plays an essential role in the successful operation of HSSA’s Development Department, which is responsible for raising over $4M in revenue each year. Working closely with Development and Finance colleagues, they provide high‑quality customer service to donors at all giving levels. This position implements donor‑recognition program, monitors the vehicle‑donation program, and leads development volunteers in essential donor stewardship tasks.

Essential Functions

Provide exceptional customer service to donors at all giving levels over the phone, in writing, and in‑person, taking the lead in responding to online inquiries and triaging them as necessary.

Implement the donor recognition program, coordinating impact reports and ensuring donors receive promised recognition and are notified of their recognition being displayed.

Develop a process in which to acknowledge gifts made through alternative revenue streams such as CARS, employee giving, matching programs, etc.

Work with the Development team to ensure donor records are accurate and clean.

Understand and abide by HSSA’s gift acceptance policies.

Produce and run reports, mail lists, donor research, giving trends, and analysis.

Evaluate current donor data processes and recommend improvements to increase team efficiency and improve the level of service provided to donors.

Coordinate with outside vendors to ensure timely and accurate creation of development deliverables.

Maintain HSSA’s inventory of donor‑recognition gifts.

Support planning and execution of special events, donor tours, and other donor‑facing activities.

Train and manage development volunteers in tasks such as donor entry, event preparation and execution, and thank‑you calls.

Assist with processing daily donations, entering donor and donation information into CRM and related databases.

Represent HSSA in a professional and positive manner.

Perform other duties as assigned.

Working Conditions This is a primarily on‑site position, with occasional evening and weekend work. Work is performed at an animal shelter in an office space. Exposure to zoonotic diseases, loud noises, and outdoor weather conditions is common.

Position Requirements Minimum Qualifications

Bachelor’s degree, associate’s degree, or equivalent training/experience.

Minimum of two years of experience providing customer service.

Proficiency in Microsoft Office suite, especially Word, Outlook, and Excel.

Experience using a CRM.

Preferred Qualifications

Development department office experience.

Experience volunteering or working with an animal welfare organization.

Bi‑lingual, Spanish preferred.

Proficiency in using Asana for project management.

Salary Hiring Range: $19–22 per hour
