We are seeking a part‑time Administrative Assistant to support various operational and programmatic departments and centers in the Daniels College of Business in addition to academic departments when Assistants to the Chairs are out of the office. This is a benefited part‑time position (20 hours per week) and will report to the Associate Dean of Finance and Business Operations in the Deans Office. The ideal candidate will have higher qualifications than the requirements state but perhaps have a desire to scale back for better work‑life balance. The candidate will have the flexibility to set their work schedule and potentially work one to two days remote.

Essential Functions

Perform general office support including ordering office supplies, maintaining breakroom, arranging parking for visitors, scheduling meetings, coordinating visits, and assisting the Executive Assistant to the Dean as needed.

Perform light bookkeeping duties including paying invoices, processing expense reports, entering contracts and purchase requisitions, processing journal entries and generating budget reports for department Directors.

Provide backup support to Assistants to the Chairs in academic departments which includes but is not limited to assisting faculty with course management and academic material, assisting department chair or director in coordinating visits, events, meetings and preparing meeting minutes, correspondence and other duties as needed to maintain smooth operation of the department.

Assist with organization, set up and take down of office functions and special events as necessary.

Knowledge, Skills, and Abilities

Thorough knowledge of Microsoft Excel, Word and Outlook

Ability to communicate effectively both verbally and in writing

Ability to complete tasks promptly and accurately with limited direction

Ability to interact with faculty, staff and students and communicate effectively and sensitively

Ability to problem solve

Ability to do basic math and accounting and have general understanding of finance and budget reports

Ability to read and interpret documents such as procedure manuals, reports and other pertinent information

Ability to prioritize and multi‑task

Ability to be adaptable and flexible

Ability to develop and maintain strong working relationships

Required Qualifications

High school diploma

Two years administrative experience in an office setting

Preferred Qualifications

3 years work experience in office support role within a university setting. Experience in technical writing, graphic design, marketing, and project management.

Outstanding business, professional, and/or academic/technical writing skills preferred. Knowledge of University policies and procedures

1. Standard office environment. 2. Unexpected interruptions occur often and stress level is moderate to high. 3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time. 2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
