JOB DESCRIPTION

RESPONSIBILITIES
Provide administrative assistance to Property Managers and serve as the first point of tenant/customer service for a portfolio of investment and corporate properties.
Compile, prepare, and update monthly and other periodic operational, administrative and financial reports, including lease abstracts, vendor insurance certificates, and vendor service agreements.
Coordinate property-related documents, maintain accurate and timely memoranda, letters, and proposals using company software.
Handle tenant service requests related to property operations, maintain a professional image to callers, and delegate calls to property service technicians.
Develop and maintain property filing and tracking systems for documents and reports identified above.
Assist Property Managers in annual budget preparation and development, monthly billing, periodic tenant billing adjustments (PTAR’s), and collections of monthly tenant rent and other receivables.
Administer vendor, property tax and other property invoices in the accounting system and oversee copying, faxing and mail distribution within the designated area.
May perform other duties as assigned.
QUALIFICATIONS
Bachelor’s Degree or High School Diploma/General Education Degree (GED) plus a minimum of 3–4 years of related experience, preferably in real estate.
Proficiency in MS Word, MS Excel, email, and internet searching techniques.
Strong business vocabulary, grammar, editing skills, and effective communication skills.
Ability to work independently with minimal supervision, handle changing priorities, and prioritize workload with attention to detail.
Discretion regarding personnel and industry‑related matters, excellent interpersonal skills, and strong proofreading skills.
Broker or salesman license as required for property management in the state(s) where business is transacted.
