Job Overview Small law office seeking a detail‑oriented and proactive

Legal Secretary

for typing: correspondence, legal pleadings, real estate documents, deeds, legal forms, inheritance tax returns and estate accounts. Data entry experience into Heritance or other estate software programs is desirable but not required. Typing from electronic dictation and written documents is required. Duties include greeting clients, answering telephones, filing, and ordering office supplies. Speak and use good English grammar and spelling and have basic math skills. Maintain client confidentiality. Must have or be able to obtain a Notary Public Commission (initial expense at my expense; you keep earned fees).

Hours 8:30 AM to 5:00 PM on weekdays with occasional overtime paid at overtime rate. Minor adjustment to hours may be considered.

Responsibilities

Provide comprehensive administrative support to attorneys, including managing calendars, scheduling appointments, and coordinating meetings.

Type and proof documents, ensuring accuracy and compliance with filing requirements.

Conduct document review and assist in the preparation of case files for court proceedings.

Utilize legal research tools such as Westlaw to gather relevant information for cases; desirable but not required.

Assist with client communications, including drafting correspondence and responding to inquiries professionally.

Support the team with clerical tasks such as data entry, photocopying, and scanning documents.

Ensure confidentiality of sensitive information while maintaining a high level of professionalism and courtesy.

Requirements

Proven experience as a

Legal Secretary

within a law firm desirable; other secretarial experience or a certificate in office technology or office administration will be considered.

Assist with basic bookkeeping and checking accounts.

Experience with Excel desirable.

Familiarity with legal research tools like Westlaw desirable but not required.

Experience in Heritance and Quick and Easy Programs preferred but not required; willing to learn.

Strong organizational skills with the ability to manage multiple tasks efficiently.

Excellent written and verbal communication skills.

Familiarity with estate administration and real estate law documents and procedures desirable.

Proficiency in WORD required; other relevant software applications desirable.

Ability to work independently as well as part of a team.

Valid PA Driver's License and reliable transportation to and from work.
