Litigation Executive Legal Secretary

We are seeking an experienced litigation executive legal secretary for the Phoenix office to provide high-level secretarial and administrative support to five or more attorneys. The ideal candidate will have a minimum of 5 years of legal secretarial experience and will be able to work closely with a diverse group of professionals in a fast-paced environment. This position requires a broad knowledge of administrative functions as well as an understanding of practice areas across the firm. Responsibilities
- From dispute onset to post trial, assists with the preparation, editing and filing of legal documents, including letters, memoranda, pleadings, discovery, agreements, subpoenas, etc. - Knowledge of and ability to research and apply local, state, federal and other jurisdictional litigation rules. - Reviews and understands calendaring requirements for each client and matter and works with the national docketing team to ensure deadlines are calendared appropriately. - Organizes and coordinates incoming and outgoing mail including sorting, reading, distributing and following up with documents as needed. - Proofreading and editing. - Court filings, including e-filings. - Communicates professionally with clients, counsel, court personnel, and other external parties. - Arranges travel. - Prepares and submits expense reports. - Assists lawyers with time entry and client billings. - Opens new files and requests conflict of interest checks. - Keeps client and administrative filing up to date. - Maintains confidentiality of attorney-client relationship. - Works collaboratively in a team, proactively demonstrating effective teamwork and communication with attorneys, team members and firm personnel. - Ability to manage competing priorities, identify the order of work to be completed and communicate work status to attorneys. - Ability to work effectively in deadline pressured situations. - Demonstrate proficiency in computer programs and relevant software applications including Outlook, Word, Excel, iManage, InTapp, and Adobe. - Must possess a high level of professionalism and interpersonal skills. Required to use tact and diplomacy when dealing with others. - Ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone; ability to proofread typed material for grammatical, typographical, or spelling errors. - Intensive document organization and preparation skills required. - Excellent project management skills, organizational skills, and ability to manage competing priorities. - Minimum typing speed of 70 wpm. - Position requires 3 days in the office and may require periodic overtime.
