We are seeking a detail‑oriented, proactive, and professional Administrative and Leasing Coordinator. This position plays a key role in supporting the daily operations of the property management office while directly managing leasing activities. The role ensures smooth administrative workflow, exceptional customer service, and efficient coordination between prospective tenants, current residents, property owners, vendors, and internal team members.
The ideal candidate is organized, personable, detail‑oriented, and capable of thriving in a fast‑paced environment.
Administrative Support
Serve as the primary point of contact for incoming calls, emails, and office visitors, providing prompt and professional assistance.
Maintain organized digital and physical filing systems, including leases, applications, invoices, tenant records, and owner files.
Prepare, process, and track documents such as lease agreements, notices, reports, and correspondence.
Assist with scheduling property inspections, vendor appointments, and maintenance work orders.
Accurately enter and update property, tenant, and maintenance information in the property management system.
Handle daily office tasks such as scanning, uploading, mail distribution, and maintaining inventory of office supplies.
Support marketing efforts by posting available rentals, updating online listings, and preparing promotional materials.
Assist with generating weekly and monthly operational and leasing reports.
Leasing Coordination
Respond to leasing inquiries quickly and professionally across phone, email, and online platforms.
Conduct property tours both in‑person and virtual while highlighting features and addressing tenant questions.
Process rental applications, verify applicant qualifications, and maintain communication throughout the approval process.
Prepare and execute lease agreements in accordance with company policies and Fair Housing regulations.
Coordinate move‑ins, including inspections, key hand‑off, utility information, and welcome documentation.
Assist with renewals, rent adjustments, and lease modifications as needed.
Ensure available properties are clean, show‑ready, and accurately represented in marketing materials.
Maintain records of leasing activity, occupancy status, and application pipelines.
Qualifications
Prior experience in administrative support, property management, leasing, customer service, or office operations preferred.
Strong written and verbal communication skills with a professional, customer‑focused approach.
High attention to detail and strong organizational skills with the ability to multitask effectively.
Proficiency with Microsoft Office, Google Workspace, and property management systems (e.g., AppFolio), or willingness to learn.
Knowledge of local rental markets and Fair Housing laws is a plus (training provided).
Comfortable with marketing platforms, online listing services, and digital communication tools.
Valid driver's license and reliable transportation for property tours and inspections.
