Responsibilities
Lead and manage the full proposal lifecycle from opportunity intake and qualification through submission and post-submission clarification.
Serve as the primary point of coordination for RFQs, RFPs, tenders, and strategic bids across all served markets.
Partner with Sales Executives, Strategic Account Leaders, Operations and Business Development to develop proposal strategies and win themes.
Coordinate cross-functional proposal inputs from Operations, COEs/SMEs, Engineering, Finance, Safety, Quality, and Legal.
Work with various departments to maintain a repository of up-to-date and qualified responses to common bid questions.
Develop and manage proposal schedules, compliance matrices, and submission deliverables.
Ensure all proposals are submitted accurately, professionally, and on time.
Review proposals for technical accuracy, commercial alignment, and compliance with customer requirements.
Review proposals for adherence to internal risk, margin, and approval standards.
Support pricing development in collaboration with Sales, Finance, and Operations.
Analyze margins, assumptions, exclusions, and commercial terms prior to submission.
Ensure compliance with MISTRAS Deal Desk, Contract Management (IntelAgree), and Delegation of Authority requirements.
Maintain standardized proposal templates, content libraries, and past performance documentation.
Track proposal activity, win/loss results, and turnaround times.
Lead post-submission clarifications and customer follow-up support.
Conduct win/loss reviews and support continuous improvement initiatives.
Drive proposal process improvements to enhance efficiency, consistency, and scalability.
Support pre-qualification documentation and customer onboarding requirements.
Maintain up-to-date Mistras information in customer portals.
Manage submissions through customer procurement portals such as Ariba, Coupa, Avetta, etc.
Provide guidance and informal leadership to proposal coordinators or contributors.
Participate in pipeline, bid review, and sales meetings as required.
Perform other duties as assigned in support of commercial growth objectives.
Leverage AI tools to match customer needs with Mistras capabilities.
Requirements
Bachelor’s degree in Business, Marketing, Engineering, Construction Management, or a related field is required.
Equivalent combination of education and experience may be considered.
Minimum of 4-6 years of experience in proposal management, inside sales, or commercial operations is required.
Experience within industrial services, engineering, inspection, construction, or asset integrity environments is required.
Demonstrated experience managing complex, multi-discipline proposals is required.
Experience supporting high-volume RFQ environments is preferred.
Experience supporting strategic or large-scale bids is preferred.
Experience working with owner/operators, EPCs, and industrial procurement teams is preferred.
Experience supporting government or regulated procurement processes is preferred. APMP certification or progress toward certification is considered a plus.
Strong understanding of industrial services and asset protection solutions is preferred.
Knowledge of NDT/NDE services and inspection technologies is highly desirable.
Strong project management and organizational skills are required.
Ability to manage multiple priorities under tight deadlines is required.
High attention to detail and accuracy is required.
Excellent written communication skills are required.
Ability to produce clear, concise, and compelling proposal content is required.
Strong verbal communication and stakeholder coordination skills are required.
Commercial acumen with an understanding of pricing, margins, and risk assessment is required.
Familiarity with contracting models and commercial terms is preferred.
Proficiency in Microsoft Office Suite is required.
Experience using CRM and proposal management tools is required.
Ability to collaborate effectively with sales, operations, and executive stakeholders is required.
Process-oriented mindset with a focus on standardization and continuous improvement is required.
Must be able to work in a corporate office environment.
