Responsibilities
Produce and track Deed Restriction Letters based on site inspections; maintain violation logs (active and resolved).
Track expiration dates on all agreements for assigned associations, solicit bids for renewal, renew agreements with current vendors or assist bid packet preparation, and ensure all agreements are fully executed and appropriately filed.
Assist with board and annual members meeting packets in accordance with bylaw notice requirements.
Attend Board and Annual Members Meetings as needed to assist the Association Manager and record minutes.
Draft meeting minutes, incorporate changes as directed, manage approval process, and circulate to the Board of Directors within thirty days of the meeting.
Prepare New Board Member Packet(s) within two working days of the Annual Members Meeting.
Maintain and update corporate records and minutes books for assigned associations.
Manage volunteer process for assigned associations and maintain a data file of volunteers for each committee, handling committee requests.
Set up files for new associations and maintain files per standard office procedures.
Assist the Association Manager with researching resident requests and securing locations and dates for meetings.
