Human Resources Generalist I

The Human Resources Generalist I provides comprehensive administrative and operational support to the Human Resources Department, with a strong focus on weekly and monthly reporting, document tracking, HRIS accuracy, and process coordination. This role reports directly to the HR Supervisor and serves as a support partner to the HR Generalist II. The Generalist I assists with the completion and routing of DocuSign forms, manages job postings, supports applicant screening and interview scheduling, coordinates HRIS setup for new hires, and assists with onboarding-related documentation and post-orientation follow-up. This position supports the accurate and timely execution of HR processes and contributes to a positive, customer-focused HR experience for Foundation employees, State staff, volunteers, and hiring managers. Works closely with the Human Resources management team and all departments throughout the organization providing a customer focused and effective Human Resources administrative support service to assist with achieving California Science Center’s strategic plan and departmental goals and objectives.
QUALIFICATIONS
Bachelor’s degree in Human Resources, Business Administration, or related field; equivalent experience considered.
1–3 years of administrative or HR support experience preferred.
Working knowledge of current state and federal labor laws.
Excellent consultation skills in the area of employee relations.
Benefits administration experience.

Experience with HRIS systems and Microsoft applications including Word, Excel, Outlook and PowerPoint.

MAJOR JOB RESPONSIBILITIES Provides a high level of leading administrative support to all Human Resources functions including but not limited to these core areas:
Provides comprehensive administrative support to the HR department, ensuring accuracy, organization, and confidentiality in day-to-day operations.
Administers and processes payroll and other changes through the HRMS (SAGE), entering changes and updating the HRMS/SAGE database, coordinating with payroll via a SAGE LINK to Accounting, auditing payroll, bills, reviewing payroll deduction reports, producing salary reports, retirement plan reports, employee performance review reports and other reports as required, and maintaining paper and electronic files, etc.
Helps monitor recurring HR tasks and deadlines to ensure timely completion, accuracy, and documentation.
Manages job postings on internal and external platforms.
Supports applicant screening and interview scheduling in partnership with the HR Generalist II and hiring departments.
Coordinates DocuSign routing for New Position Forms, New Hire Authorization Forms, and related approval documents.
Maintains applicant folders, tracking grids, and report logs to ensure visibility into hiring activity.
Update and monitor annual Performance Appraisal files (paper and electronic).
Assists with HR audits (retirement plan audits, benefit audits, open enrollment and other related tasks).
Assists management with employee handbook updates, policy interpretation for employee performance management, disciplinary process, counseling reports, processing terminations, etc.
Responsible for ordering, replenishing, organizing office supplies and maintaining office equipment (supplies, schedule repair service) as needed.
Address and answer questions from Foundation employees.
Completes HRIS setup for new hires, including data entry, personnel records, onboarding workflows, and system credentials.
Coordinates post-orientation DocuSign documents, forms, and onboarding follow-ups.
Tracks and ensures full completion of onboarding requirements, required trainings, documentation, new hire signatures, and internal communication updates.
Supports first-day scheduling, orientation preparation, materials organization, and communication with hiring departments as needed.
Provides professional HR support to employees, volunteers, and internal departments, escalating issues appropriately to HR leadership.
Assists with internal HR communications, meeting preparation, departmental projects, and staff outreach events.
COMPENSATION $26.44 - $28.85 per hour
