Job Summary This position is responsible for coordinating the community’s marketing, leasing, and renewal strategies to achieve occupancy, revenue, and resident retention goals by performing all activities related to leasing to new residents, providing resident satisfaction throughout the term of the lease, and securing resident lease renewals.
Essential Responsibilities
Identify and calculate correct income, rent, and utility allowances for each program and location, monitor compliance with program restrictions, and use alternative utility allowances for maximum rent potential.
Handle audit corrections and respond to regulatory agents.
Perform all sales and leasing activities to achieve the community’s revenue and occupancy goals: greet and qualify prospects, conduct tours and show apartments, process applications, perform credit screening and criminal background checks, prepare the lease and move‑in package, and ensure a smooth resident move‑in and lease signing.
Inspect apartments before move‑in, ensure they are in move‑in ready condition, and schedule any outstanding items with maintenance.
Stay informed about current market and competitor conditions, develop and implement short‑ and long‑term marketing plans and goals, and follow community policies related to concessions, specials, and other programs to boost occupancy.
Design and execute marketing activities to drive traffic to the community, including resident referral and employer outreach programs, internet marketing tools (Craigslist, Facebook, e‑mail, other websites), and follow community‑specific marketing plans and special programs.
Use on‑site property management software (OneSite, Yardi, etc.) to track apartment availability, record traffic and leasing activities, manage resident and prospect data, and capture critical demographic and other information.
Ensure the community and show units meet company standards for show quality: daily inspect marketing corridor and leasing tour, communicate maintenance needs, merchandise and maintain a physically appealing show unit or model, and prepare the leasing office for leasing activities.
Follow up with prospects and new residents to ensure satisfaction by sending e‑mail, thank‑you notes, cards, or making telephone calls or other contacts to finalize decisions to lease and/or renew.
Support the community’s lease renewal program by preparing lease renewal letters and packages, meeting with and contacting renewing residents in advance of move‑out dates, and ensuring lease renewal documents are signed and implemented on time.
Respond quickly and courteously to resident and client/owner concerns and questions, take prompt action to solve problems, and document and convey requests to appropriate persons.
Other Responsibilities
Complete various accounting, financial, administrative, and other reports and perform other duties as assigned or as necessary.
Organizational Responsibilities
Follow established policies and procedures by monitoring compliance with regulatory requirements, organizational standards, and operational processes; report violations to appropriate individuals.
Practice proper safety techniques in accordance with company, community, and departmental policies by reporting mechanical or electrical equipment malfunctions, injuries or accidents, or other safety issues.
Identify areas for improvement and offer suggestions to improve community efficiency, profitability, and productivity.
Stay abreast of current changes in technology, leasing and sales tools, processes, and industry standards by attending internal and external training and accessing other information sources; apply knowledge to responsibilities.
Working Conditions
Incumbents work in an office environment but may also have frequent exposure to outside elements that may be unpleasant or hazardous.
Physical Demands
Access all exterior and interior parts of the community and amenities.
Stand, walk, and/or sit for extended periods of time; push, pull, lift, carry, or maneuver weights up to 20 lb independently and 50 lb with assistance.
Routine local travel may be required to attend training classes, conduct market research, or other situations necessary for daily responsibilities.
Work a flexible schedule, including weekends and/or holidays.
Required Licenses or Certifications
Hold all licenses and/or certifications required by state and local jurisdictions.
Maintain a valid driver’s license to operate a golf cart on property.
Knowledge, Skills, Abilities
Working knowledge of LIHTC and HUD programs.
Read, write, and communicate effectively to comprehend and complete legal documents, sell and explain apartment features, and answer questions.
Apply sales skills such as generating leads, conducting presentations, qualifying prospects, and closing.
Proficiency in word processing, property management software (preferably Yardi and/or One Site), and spreadsheet programs for reports and employment documents.
Mathematical skills for addition, subtraction, multiplication, division, decimals, fractions, and percent calculation for financial records, budgets, and fiscal reporting.
Proficiency and fluency in internet use for marketing, advertising, and sales: Craigslist, Google, other search engines, website navigation.
High school diploma, GED, or equivalent employment history demonstrating sales, marketing, internet, and customer service background sufficient for resolving complaints and completing financial records.
