Event Producer .
The Event Producer provides clerical, online and on‑site support for a variety of aspects of David Beahm Experiences. They handle heavy client contact, calendar and meeting coordination, proposal/contract and file maintenance, and track important deadlines. They also serve as a liaison between DBE colleagues for the communication of necessary event‑related information.

Responsibilities
Provide proactive support to Event Sales staff in all aspects of the business
Create proposals and creatives (event blueprints) using DBE Google Drive, providing specs and pricing
Monitor the Event Sales Process timelines and deadlines and ensure all are met
Manage custom projects, ensuring that department managers provide pricing, materials are ordered through the Production department, and attend and participate in Production meetings
Provide DBE colleague’s necessary details on events and attend client meetings and mock‑ups, taking careful notes
Collaborate with Floral Designers and Production Staff and conduct venue site surveys to prepare for the safe and successful installation and dismantle of proposed décor items
Source and manage event rental items through subcontractors, providing the Production department with required contracts and invoices in a timely manner
Produce well‑organized “Day of Event” packages, confirm event timelines with clients or planners, and liaise with Production crews and venue, subcontractors or planner staff
Maintain consistent, close communications with Management to identify potential event issues focused on a swift and logical resolution
Manage flawless execution of all elements on‑site, give directives, troubleshoot any issues, and ensure all client initiatives and requirements are achieved
Assure that we deliver a successful, memorable event
Additional Responsibilities
Create inspiration boards and floor plans
Utilize the company’s calendar to reflect up‑to‑date information on the schedule for self and the staff
Prepare for client prototype visits and arrange any food or beverage service above the customary offerings
Arrange for props/linens to be ready for meetings and returned after meetings
Check that all prototype elements and event pieces are properly constructed and set up to the highest standard possible
Create correspondence, lists, reports and other documents as necessary
Handle small or last‑minute orders with clients directly
Formulate ideas to streamline processes and procedures, utilizing a creative and forward‑thinking approach
Special projects, as needed
