Sales Coordinator — Hotel
Department: Sales & Marketing
Reports To: Sales Manager / Director of Sales
Job Summary The Sales Coordinator supports the Sales & Marketing team by handling administrative tasks, coordinating client communications, and ensuring smooth execution of sales activities. This role acts as a link between sales, operations, and clients to help maximize hotel revenue and customer satisfaction.
Key Responsibilities
Provide administrative support to the Sales Manager and sales team
Handle sales inquiries, prepare proposals, quotations, and contracts
Maintain and update client databases, sales records, and CRM systems
Coordinate site inspections, sales calls, and client meetings
Follow up on leads, tentative bookings, and confirmations
Assist in the coordination of group bookings, events, and conferences
Liaise with departments such as Front Office, Reservations, Banquet, and Finance to ensure accurate execution of bookings
Prepare sales reports, forecasts, and presentation materials
Ensure all contracts and agreements are properly documented and filed
Handle client correspondence professionally via email and phone
Other duties as assigned
Required Qualifications & Skills
Diploma or bachelor’s degree in hospitality, Business Administration, or a related field (preferred)
Previous experience in hotel sales, reservations, or front office is an advantage
Strong organizational and multitasking skills
Excellent written and verbal communication skillsProficiency in MS Office and hotel management systems
Attention to detail and ability to meet deadlines
Team-oriented with a proactive and professional attitude
Key Performance Indicators (KPIs)
Timely and accurate handling of sales documentation
Lead response time and follow-up effectiveness
Support provided to achieve sales targets
Client satisfaction and internal coordination efficiency
