Position Purpose

Cipriani is seeking a highly organized, detail-oriented, and service-driven Sales Coordinator to support the sales team and ensure the smooth execution of all sales activities across the venue. This role plays a critical part in maintaining accuracy, efficiency, and professionalism throughout the sales lifecycle, from initial inquiry through contract execution and event handoff. The Sales Coordinator partners closely with sales leadership and cross-functional operational teams to support seamless event execution while upholding Cipriani’s standards of excellence, elegance, and hospitality within a fast-paced, luxury, event-driven environment. Responsibilities

Provide comprehensive administrative and operational support to the VP of Sales across all stages of the sales process Manage sales calendars, appointments, deadlines, and internal coordination Prepare and distribute proposals, contracts, and event agreements, ensuring accuracy and timely execution Maintain organized and up-to-date records of client correspondence, executed contracts, amendments, and post-event documentation Input, update, and maintain accurate account, contact, and event data within Delphi.fdc, and other internal systems Track and monitor lead status, tentative holds, and definite business to support pipeline visibility and forecasting Generate daily, weekly, and monthly sales activity, pipeline, and performance reports Serve as the primary point of contact for general sales inquiries, ensuring timely and professional communication Coordinate and support site inspections, including scheduling, itineraries, collateral preparation, and internal communication Assist with client walkthroughs, entertainment, and promotional events in collaboration with Sales, Catering, Events, and Marketing teams Liaise with Events, Catering, Operations, and Front-of-House teams to ensure a seamless transition from Sales to Event Execution Coordinate event resumes, timelines, and key details to support flawless operational delivery Assist in the creation and maintenance of sales collateral, presentations, and promotional materials aligned with Cipriani brand standards Support participation in industry trade shows and sales initiatives, including logistics, materials, and follow-up Maintain updated files for rate agreements, event packages, and contractual terms Monitor competitor activity and assist in compiling market intelligence and sales support materials Knowledge, Experience and Skills

1–2 years of experience in hospitality, events, or venue sales coordination, preferably within a luxury or high-end environment Strong organizational skills with exceptional attention to detail and accuracy Excellent written and verbal communication skills with a polished, professional demeanor Proficiency in Amedeus (Salesforce), Microsoft Office Suite, and CRM systems preferred Ability to manage multiple priorities in a fast-paced, high-touch, event-driven environment Strong administrative, analytical, and reporting capabilities High level of discretion, professionalism, and integrity when handling confidential information Collaborative, service-oriented mindset aligned with Cipriani’s luxury hospitality standards Physical Requirements

Ability to sit and work at a computer for extended periods. Occasional standing and walking during site inspections or events. Ability to lift and carry promotional materials up to 20 pounds. Flexibility to work occasional evenings or weekends to support client events or trade shows. Intent and Function of Job Descriptions
