Overview
The Legal Secretary provides comprehensive administrative support to attorneys and legal personnel, ensuring efficient workflow and adherence to firm policies and procedures. This role manages a wide range of administrative and document-related tasks for both litigation and transactional matters. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple assignments in a fast-paced environment while maintaining professionalism and exceptional client service.
Responsibilities Document Preparation & Management
Drafts, types, formats, edits, and finalizes correspondence, memoranda, and complex legal documents in accordance with firm standards.
Proofreads documents for accuracy, grammar, punctuation, and formatting.
Coordinates with duplicating/printing services to ensure the accuracy of document jobs.
Maintains accurate electronic and hard-copy client files using the firm\'s document management systems and repositories.
Attorney & Client Support
Manages multiple attorney assignments and organizes workflow to meet deadlines and client demands.
Screens and manages telephone calls, conference calls, and messages for attorneys and clients.
Schedules meetings, appointments, conference rooms, and remote sessions, including catering when needed.
Coordinates travel arrangements and prepares travel expense reports.
Assists with onboarding of new clients, including conflict checks and billing setup.
Billing & Timekeeping
Enters, proofreads, and posts attorney time entries.
Ensures compliance with client billing requirements and firm policies.
Coordinates client billing with billing services as needed.
Administrative Support
Processes incoming and outgoing mail.
Maintains calendars, contacts, and client information using firm software.
Collaborates with other firm departments to support attorneys and complete workflow responsibilities.
Maintains an organized desk and safe workspace.
Provides support to other secretaries within the team as needed.
Performs other duties as assigned or required.
Requirements
High school diploma or GED.
5+ years of legal secretary or equivalent legal administrative experience.
Thorough knowledge of legal terminology, document formats, and legal administrative procedures.
Ability to type at least 60 wpm with accuracy.
Proficiency in:
Microsoft Office (Outlook, Word, PowerPoint, Excel)
NetDocs or other DMS
Adobe Acrobat Pro
InTapp Time
Emburse or comparable expense software
Skills & Abilities
