Our law firm is seeking a detail-oriented and proactive Billing Specialist to join our client's team on a contract-to-hire basis. The ideal candidate will have experience in legal billing, strong organizational skills, and the ability to work efficiently in a deadline-driven environment. This role is essential to ensuring accurate client invoicing, timely payments, and smooth financial operations across the firm. This position will be on a hybrid schedule. Key Responsibilities: Prepare, review, and finalize client invoices in accordance with attorney instructions, fee arrangements, and firm billing guidelines. Process timekeeper entries, ensuring accuracy, completeness, and proper formatting for client billing requirements. Manage e-billing submissions through various platforms and resolve any rejected invoice issues. Track matter budgets, rate agreements, discounts, and alternative fee arrangements. Communicate with attorneys, paralegals, and support staff to clarify billing-related questions or discrepancies. Monitor accounts receivable and assist with follow-ups on outstanding balances. Maintain accurate billing records and documentation within the firm's billing system. Generate billing reports and support month-end and year-end financial processes. Ensure compliance with client billing guidelines, firm policies, and audit requirements. Provide exceptional client service with professionalism and confidentiality. Qualifications: 2+ years of billing experience, preferably in a law firm or professional services environment. Familiarity with legal billing software and e-billing platforms. Strong understanding of billing guidelines, matter management, and time entry processes. Excellent attention to detail, problem-solving skills, and follow-through. Ability to manage multiple deadlines and adapt to shifting priorities. Strong communication skills and a collaborative mindset. Proficiency in Microsoft Office, especially Excel and Word.
