Purchasing Assistant
The Purchasing Assistant is responsible for assisting the Purchasing Agent in all aspects of procurement for County government, including preparation and distribution of solicitations and award letters as well as correspondence and invoices.
Duties
Prepares Requests for Quotes, Invitations for Bids, & Requests for Proposals.
Researches vendors and maintains/updates vendor files.
Posts documents on County eProcurement Portal (OpenGov) and eMaryland Marketplace.
Works with departments in developing specifications for solicitations.
Attends pre-bid meetings and prepares Notice of Awards, Contracts, Pre-Solicitation Agendas, and Addendums.
Performs receptionist duties for the Purchasing Department.
Maintains database for phone systems, updates phone listings, & assigns key fobs to County and City employees.
Maintains purchasing card, vehicle leasing, and fuel databases.
Maintains and updates insurance files and keeps records of insurance claims and reports to insurance companies.
Qualifications High School Diploma or GED; Valid Driver’s License; Computer literate; Competent in MS Office Suite including spreadsheets; Understanding of principles & practices of public purchasing; Ability to work independently with minimal supervision; Ability to communicate with and work alongside other staff members and the general public in a professional manner; A comparable amount of training and experience may be substituted for minimum qualifications; Must pass background check and drug testing.
