The Shelter Intake Specialist serves as a frontline staff member responsible for guest intake, assessment, data management, and operational support across all shelter areas. This position ensures accurate documentation, thorough guest assessment, and appropriate service coordination through comprehensive interviews, trauma-informed engagement, and proficient use of the City\'s Homeless Management Information System (HMIS). Shelter Intake Specialists maintain a welcoming, professional presence while managing critical data entry and guest services primarily during day shifts. Note: At this time, this is a 5-month contract with no benefits. There may be an opportunity for contract extension after the 5-month period ends. Essential Functions & Responsibilities

Guest Intake & Registration Conduct comprehensive intake interviews with incoming shelter guests in a welcoming, trauma-informed manner Collect and verify guest demographic information, identification documents, and contact information Complete all required intake documentation and forms accurately and thoroughly Explain shelter rules, expectations, services, programming, and resources to new guests Assess immediate needs including medical concerns, dietary restrictions, accessibility requirements, and special accommodations Issue guest identification badges, bedding assignments, and welcome materials Maintain confidentiality and handle sensitive personal information with discretion and professionalism HMIS Data Management & Documentation Enter and update guest information in the City\'s Homeless Management Information System (HMIS) with accuracy and timeliness Maintain detailed electronic records of guest stays, services received, and case notes Conduct regular data quality checks to ensure accurate and complete HMIS records Generate reports from HMIS as requested by supervisors or contract requirements Track daily census, bed occupancy, and turnover rates in the system Document guest exits, transfers, and outcomes in HMIS Ensure compliance with HMIS data standards, privacy requirements, and HUD regulations Troubleshoot basic HMIS technical issues and coordinate with IT support when needed Maintain backup documentation systems as required Guest Assessment & Service Coordination Conduct comprehensive needs assessments through structured interviews with guests Identify guests who may be suitable for alternative housing options, including rapid rehousing, permanent supportive housing, or transitional programs Recognize and document barriers to housing such as income, employment, medical issues, criminal history, or credit challenges Identify safety risks, vulnerabilities, and guests requiring specialized services or accommodations Screen for domestic violence, human trafficking, mental health crises, and other safety concerns Make appropriate referrals to case management, medical services, mental health services, and community resources Coordinate with case managers to facilitate guest connections with housing navigation and support services Follow up on referrals and track guest progress toward housing stability Communicate assessment findings and recommendations to supervisors and case management teams Guest Communication & Support Provide direct, respectful communication with guests regarding schedules, expectations, and facility rules Notify guests of meal times, programming schedules, case management appointments, and facility procedures Answer guest questions and provide detailed information about available services and resources Serve as a positive, approachable presence to build trust and rapport with shelter residents Deliver trauma-informed care and maintain dignity and respect in all guest interactions Assist guests with completing applications, forms, and documentation for housing and support services Provide guests with information about community resources, benefits enrollment, and supportive services Safety Monitoring & Crisis Response Maintain visibility throughout assigned areas to monitor guest safety and facility security Recognize early warning signs of conflict, distress, or unsafe situations during intake and throughout facility Apply de-escalation techniques to address conflicts and prevent escalation Immediately alert security personnel, supervisors, or emergency services when situations require intervention Document and report all incidents, safety concerns, or unusual activities to supervisors Screen guests for potential safety risks to themselves or others during intake process Monitor restroom facilities to ensure appropriate usage and prevent misuse Facility Operations & Coordination Coordinate pod assignments and guest placement according to shelter capacity and guest needs Ensure orderly guest flow during intake, check-in, and transitions between activities Monitor facility for damage, maintenance needs, or safety hazards and report immediately to supervisors Assist with facility setup and breakdown for meals, programming, and special events Support cleaning and sanitation efforts to maintain a clean, safe environment Coordinate guest movement to recreation areas, dining areas, and programming spaces according to established schedules Supply Management & Distribution Monitor inventory levels and alert Supply & Logistics Specialists when restocking is needed Distribute hygiene kits, linens, clothing, and other supplies to guests during intake and as needed Assist with receiving, organizing, and storing supply deliveries Maintain organized supply areas and ensure items are accessible for distribution Document supply distribution in tracking systems Food Service Support Assist with food distribution during meal service times Help maintain orderly meal service flow and ensure all guests have access to meals Monitor dining areas during meal times to address any issues or concerns Support food service vendor coordination by communicating guest counts and dietary needs Document dietary restrictions and special meal requirements in HMIS Clean and reset dining areas after meal service Coordination & Communication Coordinate with Shelter Operations Supervisors, Unit Leads, and Case Management teams to ensure smooth operations Communicate with third-party service providers, case managers, housing navigators, and community partners Participate in daily briefings and case conferences regarding guest assessments and needs Escort guests to appointments or programming as needed Maintain radio or phone communication with other staff members throughout shifts Serve as a liaison between guests and service providers Physical Support Tasks Move boxes, supplies, and equipment as needed to support shelter operations Set up and break down tables, chairs, and other furniture for activities and meals Assist with light cleaning duties including sweeping, mopping, and trash removal Perform other physical tasks as assigned to maintain facility operations Required Knowledge & Skills

Advanced computer skills and proficiency with database systems, data entry, and electronic record-keeping Experience with HMIS (Homeless Management Information System) strongly preferred or ability to quickly learn complex software systems Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and web-based applications Strong attention to detail and accuracy in data entry and documentation Excellent interviewing and assessment skills with ability to gather sensitive information professionally Strong interpersonal and communication skills with ability to interact respectfully with diverse populations Ability to identify housing barriers and make appropriate service referrals Crisis intervention and de-escalation skills Understanding of trauma-informed care principles and housing-first approaches Knowledge of homeless services, housing resources, and community support systems Ability to remain calm and professional in high-stress situations Strong organizational and time management skills Physical ability to stand, walk, and be on feet for extended periods Ability to lift and move supplies, boxes, and equipment up to 50 pounds Strong observational skills and ability to identify safety concerns Ability to follow instructions and work both independently and as part of a team Cultural competency and sensitivity to diverse backgrounds and experiences Understanding of confidentiality requirements and HIPAA/privacy regulations Required Education & Experience

High school diploma or equivalent required; Associate\'s degree in social work, human services, or related field preferred Previous experience with HMIS or similar database management systems strongly preferred Experience in social services, case management, intake coordination, or homeless services preferred Previous experience conducting assessments and interviews preferred Experience working with homeless populations, individuals in crisis, or vulnerable populations strongly preferred Data entry or administrative experience required CPR/First Aid certification preferred or willingness to obtain Crisis intervention or de-escalation training preferred Must be a U.S. citizen or U.S. permanent resident for at least the past five (5) years to comply with federal regulations Must be available to work flexible schedules including occasional evenings, weekends, and holidays as needed (primarily day shifts) Conditions of Employment
