Job Description:
As a Bid Coordinator/ Administrative Assistant, you will play a vital role in the success of our construction projects, managing the bid process efficiently from inception to submission. Your primary responsibilities will include reviewing incoming invitations and bids, downloading relevant information, and promptly distributing bids to Project Managers. The ideal candidate should possess a solid understanding of the construction industry and demonstrate a proven track record of successfully managing the bid process. Responsibilities:
Review incoming invitations and bids, ensuring all necessary information is obtained and evaluated.
- Order and review bid documents
- Order bid bond payment performance bonds
- Complete bid
Coordinate the preparation and submission of bids, proposals, and qualification statements in response to requests for proposals (RFI’s)
Collaborate with the estimators/project managers to develop winning bid strategies by preparing reports for the department on incoming and ongoing bids.
Maintain a database of bid opportunities and track the status of active bids.
Manage confidential and propriety information regularly and must be able to exercise discretion and maintain confidentiality.
Complete any special assignments while managing time, monitoring progress, and adjusting as needed.
Consult with internal staff at all levels.
Education/Experience:
Minimum of a High School Diploma or equivalent
Minimum 2 years of experience in bid coordination or a related role within the construction industry preferred, but not required
Required Skills:
Proven experience in a Bid Coordinator or Admin Assistant role within the construction industry preferred, not required
Strong understanding of construction project management and estimating principles is a bonus
Excellent written and verbal communication skills, with the ability to effectively interact with internal and external stakeholders.
Strong attention to detail and organizational skills, with the ability to manage multiple priorities and meet tight deadlines.
Ability to use discretion and maintain confidentiality and proprietary and other information.
Works well independently and/or collaborator; action-oriented, initiative-taker, with an assertive approach to solving problems.
Ability to work effectively in a fast-paced, deadline-driven environment
Technology:
Proficient in construction management software (Procore) is preferred but not required.
Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint
Experience using Acumatica is a bonus.
