Position Summary Customer Service Specialist / Admin & Order Processing is responsible for receiving, responding to, and processing sales orders via email and telephone while ensuring accuracy. This role includes administrative tasks such as data entry, compiling monthly sales reports, and maintaining sales records. The position requires strong communication skills and a commitment to providing exceptional customer service that promotes our brand and products.

Essential Responsibilities

Accurately process customer sales orders and transfer orders for spinal implants and instruments daily.

Coordinate inventory requests with Operations staff for timely delivery.

Communicate customer preferences and resolve shipment issues, including expedited/same-day shipments.

Perform administrative tasks: create shipping labels, update spreadsheets, enter data into ERP and CRM systems.

Provide reports and maintain sales records.

Support onboarding of new distributors and assist with RMA requests.

Coordinate demo inventory shipments and returns.

Assist with marketing, training, tradeshows, and product development activities.

Respond promptly to inquiries via phone and email.

Secondary Responsibilities

Cross-trained for office administration tasks: managing calendars, office supplies, mail distribution, visitor reception, and facility inspections.

Assist with accounts payable, bank deposits, and vendor credentialing.

Qualifications

Education: Bachelor's degree or equivalent experience.

Experience: Minimum 3 years in customer service, preferably in medical device or healthcare-related fields.

Familiarity with customer service concepts, practices, and procedures.

Proficiency in MS Office (Excel, Word, Outlook), Adobe Acrobat; experience with Salesforce and ERP systems preferred.
