Executive Assistant/Operations Associate at Early-stage VC

Early-stage hardware tech venture firm is looking for an Executive Assistant/Operations Associate tobe the operational backbone for their investment team. This is an exciting opportunity to get into the world of venture and make an outsized impact on the firm. In this role, you'll support the GP and investment team by managing the GP's calendar, preparing for meetings, and keeping a pulse on all firm activities—from board meetings and investor updates to portfolio company touch points and fundraises. You'll own project management across their CRM, data organization, and documentation while being the eyes and ears on the ground to ensure nothing falls through the cracks. Someone who is extremely organized, system-oriented, eager to create efficient processes, and proactive to enable the team to keep things moving forward. This is an in-office role based in Jackson Square in SF. 100-125K+ DOE + benefits, discretionary bonus, 401k, and flexible PTO.
Responsibilities
Manage and strategically optimize the General Partner's calendar, protecting priority time and proactively adjusting schedules based on shifting business needs.
Prepare the General Partner for meetings by providing relevant context, agendas, participant backgrounds, and necessary materials in advance.
Serve as a thought partner to the GP, particularly on written communications, helping to refine ideas and ensure clarity.
Serve as the operational eyes and ears on the ground—actively monitor meetings, anticipate follow-up needs, and proactively prepare information or resources for investors, LPs, and portfolio companies.
Provide daily updates and recaps to keep the team aligned on priorities, moving pieces, and next steps.
Own project management of CRM systems, data organization, document management, and internal notes to ensure accuracy and accessibility across the firm.
Maintain a pulse on all firm-wide activities, including board meetings, investor updates, fundraising efforts, portfolio company touchpoints, and LP communications to ensure timely execution and follow-through.
Greet and host LPs and founders during office visits, manage meeting logistics, and ensure seamless experiences.
Support brand-building initiatives by managing content calendars for podcasts, blogs, and social media; coordinating publication schedules; organizing content assets; and maintaining draft updates and investor letters.
Act as the nexus between the investment team and finance, facilitating communication and coordination to enable faster response times to founders and LPs.
Continuously improve operational efficiency by identifying process gaps, implementing systems and workflows, and enabling the team to scale without adding headcount.
Qualifications
3-5 years of experience in an Operations, Project Manager, or similar role in a fast-paced environment in an early-stage startup, venture capital, or high-growth service environments.
Exceptional written and verbal communication skills.
Strong systems thinker with proven ability to create order from chaos, balancing urgent and important while managing multiple competing priorities.
Excellent organizational and data-management capabilities, including experience with CRM systems, tracking tools, and implementing efficient processes in lean, high-growth environments.
Proactive mindset with the ability to take high-level vision and turn it into actionable steps without needing constant direction
Low-ego, team-oriented mindset with enthusiasm for being a force multiplier who enables others to do their best work
Demonstrated track record of spotting inefficiencies and implementing solutions that stick.
Tech-savvy, genuine curiosity about technology, and comfort with research.
