This position is responsible for the accurate and efficient preparation of vehicles for sale by coordinating the required paperwork and performing data entry of vehicle information. The Account Administrator ensures that an accurate and complete computerized and physical inventory of customer vehicles is established, and maintains and updates the inventories on a continuous basis in order to assign and prepare vehicles for the sale as required by specific customer. Responsibilities
Provide comprehensive support to numerous commercial account holders. Proactively identifying enhancement opportunities. Run and analyze reports for trends and compliance. Support high-revenue locations with accountability and excellence in managing key, highly complex client accounts. Offer comprehensive, direct support and communication to account holders, understanding their requirements and challenges while communicating potential issues. Coordinate with the national account representative to follow account-specific procedures to prepare and audit sale vehicle run processes, including run order, scheduling, customer notices, vehicle repairs, accurate charge posting (pre-sale and limited post-sale), reporting, and invoicing. Monitor vehicle sales processes and communications to ensure an overall positive client experience. Develop positive relationships with clients, helping them understand auction processes, vehicle availability, and processes for sale, preparation, and delivery. Examine vehicles within the sales lineup to verify inventory meets necessary specifications, identify missing vehicles, and collaborate with account representatives to ensure vehicles are prepared for sale with appropriate imaging and announcements. Coordinate vehicle transportation, ensuring timely delivery and resolution of issues. Review Condition Reports to capture required announcements (Structural, Flood, True Miles Unknown, AS IS - NAAA guidelines for miles and age), Branded Title, Manufacturer’s Buyback, etc. Ensure file jackets for client audits include proper documentation and invoicing. Serve as a liaison between clients and all auction departments. Collaborate with Accounts Receivable to post accurate charges, process and send invoices, and actively pursue collections. Prioritize tasks within the lifecycle of auctioned cars and maintain professionalism in client relationships. Ability to work in a fast-paced environment, be receptive to change, and multitask with a commitment to excellent customer service. Handle redemption appointments daily (Excluding Sale Day) at the auction location. Requirements
High School Diploma/GED and 3 years' experience in a related field or 5 years' experience in a related field required. Prior clerical or administrative experience required. Proficiency in Microsoft Excel required. Must be able to operate adding machines and other office equipment (e.g., copier, fax machine). Ability to sit or stand for prolonged periods of time. Preferred
1 - 3 years of clerical or administrative experience in the automotive industry preferred. Compensation
Hourly base pay rate is $19.57 - $29.38/hour. The hourly base rate may vary within the anticipated range based on factors such as location and the candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission and/or an incentive program. Benefits
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Additional paid time off may be available (bereavement, voting, jury duty, volunteer time off, military leave, parental leave).
