Property Operations Assistant

San Antonio, TX (local preferred; hybrid possible)

Full-time | Standard business hours

Reports to: CEO

About the Role: We’re building a centralized operating platform for a growing multifamily real-estate portfolio. This role is the execution engine—keeping vendors, payables, systems, and day-to-day property operations running smoothly while providing limited administrative support to ownership.

This is not a property manager or leasing role. It’s an operations-first position for someone who takes pride in follow-through, organization, and getting things done.

What You'll Do: Property Operations (Primary)

Coordinate maintenance requests, vendors, and follow-ups

Track work orders, service completion, and timelines

Support unit turns and make-ready coordination

Maintain organized property and vendor records

Accounting & Admin Execution

Process and track invoices and accounts payable

Organize receipts and documents for bookkeeping/CPA review

Assist with monthly close prep (not responsible for final accounting)

Systems & Task Management

Track recurring tasks and deadlines

Maintain task lists and progress tracking

Support property management and accounting software

Ownership Support (Secondary)

Scheduling, reminders, and deadline tracking

Draft routine operational emails or documents

Prepare materials and summaries for meetings

How Success is Measured:

Timely invoice and payable processing

Consistent task closure and follow-through

Clean, accurate documentation

Responsive vendor coordination

Smooth execution of operational workflows

Who You Are:

Highly organized and detail-oriented

Execution-focused with strong follow-through

Comfortable managing multiple priorities independently

Clear written communicator and proactive problem-solver

Tech-comfortable (Google Workspace, spreadsheets, property software)

Nice to Have (Not Required)

Real estate, property management, or accounting experience

Familiarity with Yardi, AppFolio, Buildium, QuickBooks, or similar
