The Customer Service Representative is responsible for providing pricing for quotes and arranging the orders based on customers’ requests in a timely manner. The CSR always applies resourcefulness and strong attention to detail while converting inquiries into orders while developing good relationships with both suppliers and customers.
Essential Functions
Timely customer communication including, but not limited to quotes, expediting, customer inventory, order completion, shipping/receiving notifications and billing.
Quote customers based on book price pages, contract price pages and costing worksheet with direction from the office / customer service manager.
Notify customers upon receipt of material and material received without a purchase order.
Document contract review on the customer PO.
Serve as backup for Purchasing tasks.
Accurately enter sales order and material processing orders into D365.
Production record material process orders and/or confirm accuracy of production recording.
Notify customer as soon as material is ready to ship and provide shipping documents.
Deliver accurate and timely BOLs to Shipping Department.
Schedule trucks for those customers who do not make their own shipping arrangements.
Bill completed sales orders and/or confirm accuracy of invoices.
Assists manager in reconciling the physical inventory discrepancies.
Provide exceptional support to both external and internal customers.
Continuously works toward customer satisfaction.
Participates as needed in special department projects.
Provides reports as requested.
Role Requirements
University / College education in Business or 3-5 years of related experience with inside sales.
Experience in metals is a plus.
Effective time management skills, ability to prioritize, able to work as a member of a team.
Strong written and oral communication skills.
Previous interaction and experience with customers.
Drive, determination and ability to work both independently with little direction and as part of a team.
Equipment Knowledge
Familiarity with computer software; Excel, Word, D365, Outlook, etc.
Physical Demands The role is primarily office-based and does not entail significant physical demands beyond typical office activities.
