Marketing Assistant / Coordinator I
Location: 501 West 30th Street, New York, NY 10001, United States - Hybrid (3 days in office, 2 days WFH)
Pay Rate: $34/hour on W2
Contract: 12 Months
Role Overview The Marketing Assistant / Coordinator I will provide essential administrative and operational support to the marketing team, with a strong focus on organization, logistics, budgeting, and cross-functional coordination. This role is ideal for a highly detail-oriented self-starter who is eager to learn the behind-the-scenes processes of luxury beauty marketing and thrive in a fast-paced, evolving environment.
Key Responsibilities Budget & Purchase Order Management
Own and maintain the budget tracker for the team
Process purchase orders (POs) and invoices
Manage communication with internal stakeholders and external vendors
Onboard new vendors to L’Oréal systems as needed
Logistics & Inventory Management
Create and manage all product orders
Coordinate shipments and communicate timelines with internal and external partners
Manage inventory for the team’s product closet, supporting mailers and events
Team Coordination & Operations
Create, organize, and maintain the internal team document storage hub
Track project timelines using the team dashboard
Communicate updates and timelines to key stakeholders
Oversee and manage updates within internal L’Oréal reporting systems
Strategy, Briefing & Reporting
Create vendor briefs for Prada Beauty product launch campaigns
Identify and vet potential influencer talent for product mailers
Own reporting, campaign recaps, and occasional strategy slide development for team presentations
Ideal Candidate Profile
Passionate, driven, and highly detail-oriented
Strong organizational skills with the ability to simplify complex systems
Comfortable in administrative and systems-based work (POs, order forms, reporting tools)
Self-starter who can operate autonomously and adapt quickly to shifting priorities
Collaborative mindset with the ability to receive and apply feedback
Excited about luxury brands and a long-term career in beauty
College graduate preferred
Open and flexible regarding prior experience background
Reporting Structure
Directly reporting to a Vice President
Dotted-line collaboration with broader marketing and cross-functional teams
