What You’ll Do Do you thrive at the intersection of precision, problem-solving, and collaboration in a fast-paced professional environment? As a Business Intake Specialist, you will play a critical role in supporting the Firm’s risk management and business intake processes, ensuring the accuracy, completeness, and integrity of client and matter information across the organization.

Working in rotation with other members of the Business Intake team and under the guidance of the Business Intake Manager and Risk Management leadership, this role is responsible for end-to-end business intake processing. This includes new clients, new matters, revisions to existing records, and compliance-related reviews involving conflicts of interest, information security, and regulatory requirements. You will partner closely with attorneys, internal departments, and Firm leadership to facilitate seamless intake workflows while maintaining the highest quality standards.

Business Intake Processing:

Monitor and process all incoming intake requests through the Kirkland & Ellis New Business Intake system (KENI), email, and phone, ensuring timely and accurate handling of new clients, new matters, and revisions.

Client and Matter Research:

Conduct preliminary and in-depth research on clients and related parties to determine correct client status and support conflicts analysis.

Data Integrity and Quality Control:

Maintain accurate, complete, and consistent client‑matter records—both current and historical—across Firm systems, including OPEN/Intapp.

Conflicts and Risk Review:

Review conflicts reports for accuracy and content, assist with resolving potential conflicts of interest, and support submissions to the New Matter Screening Committee (NMSC) and New Business Executive Committee (NBEC).

Regulatory and Compliance Support:

Prepare and manage submissions for Anti-Money Laundering and Know Your Client (AML/KYC) reviews with the Money Laundering Reporting Officer (MLRO).

Approval and Documentation Management:

Prepare, assign, and monitor intake requests requiring additional approvals (e.g., pro bono, intellectual property, accommodations) and oversee the collection and attachment of engagement letters and waivers.

Information Barriers:

Create, update, and audit electronic information barriers and ethical walls using Wall Builder.

Cross-Functional Collaboration:

Serve as a technical liaison with Risk Management Integration and User Support teams and collaborate with Finance, Accounting, Marketing, Records, Pro Bono, and Information Technology.

Training and Knowledge Sharing:

Participate in training and orientation sessions, teach departmental processes and systems to new team members, and support ongoing process improvement.

Client Service Excellence:

Provide high-level, responsive support to attorneys, including assistance with risk management systems and compliance reminders.

Flexibility and Responsiveness:

Support urgent and confidential matters as needed, including availability during evenings and weekends, and contribute to special projects as assigned.

What You’ll Bring

Education:

Bachelor’s degree required; master’s degree preferred or equivalent combination of education and experience.

Experience:

Five years of related experience, including demonstrated experience with conflicts searching.

Research Skills:
