POSITION SUMMARY Serves under guidance and supervision of the Assistant Director/Executive Director, the Intake Specialist is responsible for performing general office duties, sorting mail and distributing to appropriate staff and/or department, greeting and receiving visitors to the Hualapai Housing Office. Responsibilities also includes taking work orders from tenants, providing and processing intake of applications for HHD services, communicating general information to applicants and tenants about HHD programs.
ESSENTIAL FUNCTIONS
Regular attendance is essential.
Answers phones, directs calls to appropriate staff member and/or takes messages and distributes them in a timely manner.
Greets visitors and directs them to proper personnel.
Maintains office files and keep files current and up-to-date.
Separates and distributes mail to staff in a timely manner.
Performs other light clerical work such as typing, filing and envelope stuffing.
Provide community members with Housing information including applications for low rental programs, Mutual Help and Home Builder Opportunities and Housing Training Programs.
Processes all waiting list applications for the low-rent, homeownership, emergency housing and low-income housing tax credit programs to determine eligibility. Obtaining all required application documents, verifying all information and completing the screening process for final determination of eligibility.
Updating and maintaining the low-rent, homeownership, emergency housing, and low-income housing tax credit waiting lists.
Intake work orders, processes them to maintenance assistant or appropriate personnel.
Prepares and maintains files of time for all housing personnel.
Ability to take direction, positive attitude, willingness to learn and capable of being a team player.
Act as a communication between the employees and other divisions of the housing and tribal departments.
Knowledgeable of all kinds of official documentations to prepare letters, memorandums, etc.
Ensure cleanliness and orderliness in the reception area while abiding by the policies and regulations of the department.
Perform other duties as assigned.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED
High School Diploma or GED or obtain one within 6 months of the hire date.
Excellent Customer Service Skills. Strong verbal and interpersonal skills
Ability to read, write, speak and understand English well. Knowledge of Hualapai language preferred but not required.
At least one-year experience in an office environment.
Ability to use office equipment, such as computer, copier, calculator, fax machine, postage machine, and multi-extension telephone.
Must possess a valid Driver’s License and be eligible for Tribe’s insurance.
Must submit to an initial and random drug/alcohol testing.
Must submit to and pass a background check for Federal Grant Requirement.
