Our client is a well-established professional services organization with a collaborative and team-oriented environment. The team is small and fast-paced, and this role plays an important part in supporting daily administrative needs and assisting with planning internal events. Job Description
This role provides direct administrative support to senior-level staff while also assisting with coordination of internal meetings and firm-wide events. The ideal candidate is organized, professional, and comfortable balancing multiple priorities. This position offers hands‑on experience working closely with leadership and cross‑functional teams. Key Responsibilities
Provide day-to-day administrative support including scheduling meetings, managing calendars, preparing correspondence, and maintaining organized documentation. Serve as a point of contact for internal staff and guests; handle phone and email communications professionally. Assist with preparing reports, presentations, and formatted documents (training provided where needed). Support tracking of time and expenses for internal reporting and billing processes. Coordinate catering and meal orders for meetings and team gatherings; ensure accuracy and attention to dietary preferences. Assist in planning firm events, celebrations, training sessions, and other internal activities throughout the year. Help maintain conference room readiness, materials, and general workflow organization. Manage multiple priorities and requests from different team members with professionalism and strong follow‑through. Qualifications
1–2 years of experience in an administrative, office assistant, or coordinator role (professional services or legal environment is a plus, not required). Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint. Strong organizational skills and attention to detail. Clear and professional written and verbal communication skills. Ability to take direction from multiple leaders and adjust to shifting priorities. Bachelor’s degree required. Additional Details
Full-time, Monday–Friday, standard business hours (35‑hour work week). Onsite at the Madison, NJ office; occasional travel to NYC office when needed. Eligible for overtime. Direct hire, full‑time role. Perks
