Client: Facilities Management, Role: Purchasing Assistant, Pay Rate: $25/hr-$27/hr, Monday-Friday Onsite, Location: Long Island City, NY.

Must have strong reporting skills in Excel (Pivot Tables, V-lookups).

NetSuite is a bonus. Ideally this candidate would come from a large organization.

Job Summary The Purchasing Assistant supports the Purchasing Manager in coordinating all activities related to procuring materials, equipment, and supplies needed for operations. This role works closely with vendors to obtain product and service details, processes purchase orders, and partners with the Accounts Payable team to ensure accurate invoice handling.

Responsibilities

Communicate with suppliers to gather information on pricing, availability, delivery schedules, and product/service details.

Research and evaluate alternative products or services when required.

Process and track purchase orders, maintaining accurate records of costs, delivery status, and vendor information.

Maintain organized files, documentation, and databases in line with established procedures.

Serve as the main point of contact for field management teams regarding order updates and follow-ups.

Create and maintain order forms and related documentation for recordkeeping.

Act as a liaison between the Purchasing and Accounts Payable teams to support invoice processing.

Ensure adherence to all internal policies, procedures, and compliance standards.

Complete special projects and additional tasks assigned by the department manager.

Qualifications & Competencies

High school diploma or GED required; college degree or equivalent experience preferred.

1–2 years of experience in a procurement or purchasing role strongly preferred.

Advanced proficiency in Excel and the Microsoft Office Suite required.

Strong analytical skills with the ability to interpret data, prioritize tasks, and elevate issues when needed.

Solid project management skills, including the ability to coordinate work across multiple teams.

Exceptional organization skills with strong attention to detail and accuracy.

Excellent written and verbal communication skills.

Strong interpersonal skills with the ability to collaborate effectively at all levels of the organization.

Ability to work with a sense of urgency and perform well under pressure.

Self‑starter capable of working independently with energy and initiative.

Strong time‑management skills with the ability to meet deadlines and manage multiple priorities.

Professional, discreet, and highly skilled in maintaining confidentiality and prioritizing work.
