Location Lake County, IL (Hybrid: On-site Tuesday–Thursday, Remote Monday & Friday). 8am‑5pm, Monday through Friday.

About The Role This role is responsible for processing vendor agreements and Clinical Study Agreements (CSAs) into the contracting database, ensuring all auditable documentation required for payment processing is included. The specialist will maintain system integrity, resolve vendor management issues, and process monthly invoices for CSAs in clinical trials. The specialist will verify patient activity for each agreement and independently investigate and resolve clinical trial vendor or site payment disputes.

Qualifications

Strong computer skills, particularly with Excel, to work with complex databases.

Bachelor’s Degree with a minimum of 1 year of relevant experience OR High School diploma/equivalent with minimum of 5 years relevant experience.

Ability to use critical thinking skills to work independently under minimal direction.

Strong understanding of the overall Global Clinical Study process is preferred.

Preferred Experience

Experience in clinical research, finance, outsourcing, accounts payable, or equivalent.

Familiarity with systems such as SAP, RAVE Electronic Data Capture, MIDAS, Quantum, Qlik, COMPASS (preferred but not required).

Attention to detail and ability to recognize and resolve computational and contractual errors in contracts and invoices.

Key Responsibilities

Ensure compliance with all applicable corporate and divisional policies and procedures.

Demonstrate operational knowledge of SOPs and practices required to effectively process clinical contracts.

Audit and perform financial reconciliation of clinical study vendor contracts using various financial systems to summarize and consolidate payment history.

Perform ongoing contract entry for all executed contracts.

Act as the primary interface with Clinical teams and other functional groups for payment-related activities.

Identify payment discrepancies and propose resolutions and strategies to prevent future issues.

Coordinate payment timelines between Payment Specialists and other functional areas.

Utilize available databases and systems to set up payments and enter contract data into departmental systems.

Communicate status updates to management and propose recommendations for issue resolution.

Produce accurate, high-quality payments and reports in a timely manner.

Investigate and resolve issues independently or with minimal oversight.

Coordinate clinical trial payments to ensure timely processing, including distribution of incoming invoices and tracking in appropriate databases.

Provide guidance and answers to technical and non-technical questions regarding the contracting process.

Job Type & Location This is a Permanent position based out of North Chicago, IL.

Pay And Benefits Pay range: $20.00 – $21.00 per hour.
