Department: Mortgage Operations
Grade: 8, Non-Exempt: $21.97 an hour to $32.96 an hour
Report To: HLC Operations Manager
Summary: This position is responsible for managing the timely and accurate ordering of third-party services (appraisals, title, credit, verifications) and preparing, issuing, and tracking mortgage loan disclosures in compliance with federal, state, investor, and company guidelines. It also prepares and issues Adverse Action Notices in accordance with ECOA and Fair Lending requirements and reviews AUS findings to ensure accurate product selection and documentation for Conventional, VA, FHA, HFA (Bond) and portfolio loan programs. The role ensures loans are processed efficiently while maintaining strict adherence to TRID, RESPA, ECOA, and other regulatory requirements.
Order appraisals, title, flood certifications, credit supplements, verifications of employment (VOE), IRS transcripts, and other required third‑party documents.
Track outstanding orders and follow up with vendors to ensure timely completion.
Maintain accurate documentation of all orders within the loan origination system (LOS).
Prepare, review, and deliver initial and re‑disclosures to applicants in accordance with TRID/RESPA and other compliance requirements.
Ensure accurate fees, loan terms, and timelines are reflected in all disclosures.
Monitor change‑of‑circumstance events and issue required redisclosures promptly.
Track borrower receipt and acknowledgment of disclosures to maintain regulatory compliance.
Review AUS findings (DU, LP, or other automated underwriting systems) to confirm product eligibility and accuracy.
Log and track product selection decisions for compliance and audit purposes.
Validate product selection and loan program alignment with FHA, VA, Conventional, and HFA guidelines.
Ensure product choice is documented clearly for compliance and investor review.
Prepare and issue Adverse Action Notices in compliance with ECOA and Fair Lending requirements.
Ensure notices are delivered within required timeframes and accurately reflect credit and underwriting decisions.
Support internal and external audits related to disclosures, AUS findings, adverse actions, and loan documentation.
Maintain up‑to‑date knowledge of federal, state, and agency disclosure regulations.
Work closely with Loan Officers, Processors, Underwriters, and Closers to ensure accurate and timely delivery of required documents.
Communicate with borrowers and vendors as needed to resolve order, disclosure, or compliance‑related issues.
Provide support and training to processing teams on disclosure, AUS review, and compliance procedures when necessary.
Maintain knowledge and adhere to all BSA regulations and compliance standards on internal and external policies.
Effectively incorporate concepts of CARES Principles in daily behaviors and interactions.

Supervisory Responsibilities: This position has no formal, direct supervisory responsibilities, although will work with leaders and peers in the organization to drive results.
Performance Standards: Contributes to the organization's mission statement and goals by providing the highest quality of service, treating each person professionally – with warmth, courtesy, and respect, and making a personal effort to make members feel they belong and are important to the credit union.
Education and Experience High school diploma or equivalent required; associate or bachelor's degree preferred.
Minimum 1 year of mortgage operations experience, preferably in disclosures, AUS review, processing, or compliance.
Strong knowledge of TRID, RESPA, ECOA, and AUS systems (DU/LP).
Familiarity with FHA, VA, Conventional, and HFA program guidelines.
Certificates, Licenses, Registrations None
Skills and Abilities
Proficiency in Loan Origination Systems (LOS) such as Encompass, MeridianLink, or similar platforms.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and deadlines in a fast‑paced environment.
Excellent written and verbal communication skills.
Customer‑service–oriented with strong problem‑solving ability.
