SUMMARY
The Fulfillment Coordinator is responsible for coordinating the printing and mailing of shareholder reports, prospectuses, prospectus supplements, and other regulatory mailings for Ultimus’ mutual fund clients.
KEY ACCOUNTABILITIES
Maintains regulatory mailing information in calendars and databases.
Prepares and coordinates requests for shareholder counts in connection with the regulatory mailing process.
Reviews, reconciles, and coordinates payment of invoices.
Assists in the development of procedures, processes, and system enhancements in connection with the regulatory mailing process.
Performs daily administration operations, as needed.
WORKING RELATIONSHIPS
Works closely with various business units at Ultimus, including the Legal Administration, Fund Administration, Transfer Agency, and Printing teams, as well as outside vendors and Ultimus clients, to facilitate the delivery of regulatory mailings and client fulfillment needs.
Responds to various client inquiries and requests relating to regulatory mailings or shareholder files.
May perform other duties as required and assigned.
EDUCATION AND EXPERIENCE
An undergraduate degree from an accredited college or university.
1-3 years of fulfillment, regulatory mailing, transfer agency, or shareholder servicing experience for a financial services company.
KNOWLEDGE
Strong understanding of the day-to-day services provided by Ultimus.
Financial services industry.
Microsoft Office Suite.
Adobe Acrobat.
