Key Responsibilities
Track bids, proposals, RFPs, and pre‑qualifications across multiple active clients. Prepare, submit, and organize quotes, vendor forms, and client‑facing sales materials. Maintain accurate records in CRM and internal tracking systems. Coordinate with estimating, engineering, and project management teams to gather necessary proposal data. Client & Stakeholder Communication
Act as a professional point of contact for clients, general contractors, and vendors. Schedule meetings, walkthroughs, and pre‑bid job site visits. Ensure timely follow‑up and maintain positive client relationships. Documentation & Reporting
Support project onboarding, including contracts, certificates, and system setup. Compile and deliver sales metrics and reporting (pipeline, closing ratios, backlog). Ensure all compliance documentation is submitted on time. Cross‑Functional Collaboration
Work closely with PMs to ensure a smooth transition from award to execution. Partner with purchasing and accounting teams on vendor setup and billing coordination. Qualifications
Education & Experience
2+ years in sales coordination, project coordination, or administrative support. Industry experience in fire protection, construction, mechanical/electrical trades preferred. Associate’s or Bachelor’s degree in Business, Marketing, Construction Management, or related field preferred. Technical Skills
Proficient in Microsoft Office Suite (Excel, Word, Outlook). Experience with CRM platforms (preferred). Familiarity with contract administration, bid portals, and compliance documents a plus. Knowledge of fire protection systems, construction terms, or prevailing wage compliance (preferred). Soft Skills
Excellent communication and client service skills. High attention to detail with exceptional organization. Self‑motivated, proactive, and deadline‑driven. Strong team player able to work cross‑functionally.
