Role Overview This Settlement Coordinator will be at the heart of our financial operations, ensuring that clients receive their settlements in a timely, accurate, and compliant manner. The position bridges the gap between case resolution and financial execution, reinforcing client trust and firm revenue.

Responsibilities

Settlement Management:

Own the full settlement process end to end, including obtaining releases, sending them to clients for signature, following up, returning to defense counsel, and preparing complete settlement packages that are ready for review.

Payment Tracking:

Calendar and monitor settlement payment due dates, follow up on overdue payments, and ensure timely receipt.

Client Communication:

Notify clients promptly upon receipt of funds and keep them informed at every stage.

Disbursement Preparation:

Create detailed disbursement sheets factoring in firm expenses, liens, and settlement terms; prepare checks and cover letters; coordinate mailing.

Compliance Oversight:

Ensure all disbursements comply with state law, such as notifying clients within the required timeframe and completing distributions within the mandated number of days.

Accounting Coordination:

Partner with the CFO and accounting team to reconcile expenses, approve payouts, and issue checks.

Invoice Handling:

Process settlement‑related and other approved invoices, including printing and mailing checks.

Documentation & Reporting:

Maintain accurate records of settlement status, payments, and distributions; provide updates to leadership.

Case Organization:

Manage multiple settlements simultaneously, including bundled releases and complex disbursements.

On‑site Engagement:

Thrive in an in‑office role where collaboration and direct engagement with colleagues are integral to success. The role will begin on a hybrid basis and is intended to transition to fully in‑office in the near future.

Qualifications

Experience:

1–2 years in accounting, bookkeeping, or financial coordination (experience with law firm trust accounting is a plus).

Technical Skills:

Proficient with financial systems such as QuickBooks, case‑management software such as FileVine, and productivity and communication tools like Microsoft 365, Slack, and Ooma.

Organization & Task Management:

Highly organized with strong calendaring and tracking skills, able to manage multiple cases and deadlines simultaneously. Brings a project‑management mindset with effective follow‑up, ensuring nothing falls through the cracks.

Resourcefulness & Problem‑Solving:

Demonstrates independence and persistence, able to work through challenges without constant supervision. Brings a resourceful approach to finding solutions and securing information.

Communication:

Clear, professional communication with clients, attorneys, and opposing counsel.
