Legal Assistant – Real Estate Quarles & Brady LLP is seeking an experienced and proactive Legal Assistant to join our Real Estate group in our Chicago office. The ideal candidate will demonstrate resourcefulness, initiative, and a collaborative mindset while supporting attorneys in complex commercial real estate transactions. This is an opportunity to build strong relationships, sharpen your skills, and deliver exceptional work.

Key Responsibilities

Edit, format, and proofread documents in Word and Excel, including applying styles and headings.

Submit new matters for intake and conflict checks.

Process daily time entry.

Assist attorneys with matter administration and client billing, including following client policies and procedures, coordinating with client administrative personnel, reviewing and editing pre‑bills, and supporting attorneys in preparing for commercial real estate closings.

Prepare closing binders and follow up on post‑closing items.

Assist in creating and editing PowerPoint presentations.

Maintain strict confidentiality regarding firm and client matters.

Manage attorneys’ calendars, travel arrangements, appointments, meetings, conferences, and expense reimbursements.

Qualifications

Minimum 3–5 years of secretarial experience in a real estate environment, including all aspects of real estate closings.

Strong organizational, communication, and client service skills.

Exceptional technical skills required, including proficiency in MS Word, Excel, Outlook, iManage, and Aderant.

Ability to prioritize multiple projects and manage competing deadlines.

Highly detail‑oriented with a collaborative nature and willingness to learn new tasks.

Experience with major institutional investors and commercial real estate transactions is a plus.

Knowledge of legal and real estate terminology is a plus.

High School Diploma required; further education or professional certification preferred.
