Sales Assistant / Coordinator
Exciting opportunity at an established and dynamic media company who has been in business since 1958 with offices in the heart of Palm Springs. The Sales Assistant/Coordinator position is the hub for the Sales, Marketing, Production and Accounts Receivable areas demanding attention to detail and the ability to learn and absorb new technology is essential to success. This position requires assistance to high‑level media account executives in their daily activities in a fast‑paced environment. The ideal candidate is organized and nimble, has excellent grammar, likes detail and is quick to perform their duties at hand. We seek a team player who consistently displays accuracy and focus for contract input, report retrieval and database updates within our publishing sales software program. This position also provides the opportunity to work directly with clients in day‑to‑day email and phone communications.
Responsibilities
Learn and understand the business and work as a team with the account executives and other departments to support overall business objectives
Strong communication and customer service skills both internally and externally. Your communication and business writing skills are key components to this support position
Provide administrative support to account executives such as preparing reports, tracking print and digital advertising fulfillment, and processing contracts and advertising materials to meet production deadlines
Work directly with clients on artwork collection, managing delivery and processing through the production department to receive final client approvals before campaign launches
Utilize systems developed for trafficking correspondence and contracts; utilize your strong organizational skills and eye for details to keep processes moving quickly to completion
Monitor activation of digital orders to ensure they are accurately entered and activated on time
This position requires excellent data‑entry skills to succeed with above requirements, including entering orders, updating records in CRM, and tracking orders for all follow up required
Understand the needs of Account Executive and anticipate where you can assist for client customer service and satisfaction, and display willingness to assist internally to accomplish the best results
Must thrive in a fast‑paced environment
Qualifications
Understanding of digital and social media marketing products in general and learn our company‑specific products and services
At least 3 years of marketing / sales experience
Present case studies in the past 5 years you have worked on as it related to marketing / sales reporting
Ability to hit the ground running, understand the Microsoft suite of products, and be able to expedite work while having an innate desire to assist both the internal team and our important clients
Excellent data‑entry skills and the ability to update records in CRM, process contracts and track orders for all follow up required
Strong communication and customer service skills, both internally and externally
Ability to thrive in a fast‑paced environment
Schedule & Compensation Full-time. 8‑hour shift Monday to Friday. Salary: $45,000–$60,000 depending on experience. Work location: In person in Palm Springs
