Job Summary:
The Sales and Catering Coordinator works with the Sales and Events Teams as well as clients, maintaining guest files, handling contracts, and supporting event operations. Candidates must be highly organized, detail‑oriented, excellent time managers with strong written and verbal communication. Prior hotel/catering sales or related experience is preferred and computer skills (Microsoft Office, Opera) are required.
Essential Job Functions
Receiving guests and answering incoming calls
Creating and maintaining customer files
Completing RFPs and drawing contracts
Qualifying and transferring all incoming leads to appropriate manager
Holding space and sleeping rooms for groups
Turning definitive group reports and completing hotel‑wide turnover reports
Sending countersigned contracts to clients
Preparing and distributing BEOs for each event weekly, adding master account numbers
Creating and updating Banquet Event Orders, working with managers and clients for event details
Maintaining master BEO binder and event‑manager spreadsheet
Producing weekly, quarterly, and yearly sales metrics reports
Providing site tours for clients and printing group rosters for event managers
Printing menu cards and buffet food labels as needed
Updating Delphi pricing, item, and contract forms
Preparing correspondence, contracts, proposals, and banquet orders
Printing and assembling resume packets weekly
Managing office supplies, equipment, and preparing reports
Qualifications
2–5 years of hotel experience is a plus
Previous experience in a Sales and Catering department is a plus
Computer proficiency – Microsoft Office (Word, Excel), Amadeus; experience with Opera is a plus
Must be able to lift 25 lbs.
