Systems & Operations Coordinator

We're looking for a highly organized and tech-savvy Systems & Operations Coordinator to help us build internal systems, manage projects, and keep our team running smoothly. If you're a ClickUp expert, love solving operational puzzles, and thrive in fast-paced environments, this role is for you.

What You'll Do
  1. Build and manage systems from scratch to support operations, project tracking, and team coordination
  2. Own and optimize ClickUp: tasks, workflows, dashboards, and automations
  3. Use Motion AI to intelligently schedule and prioritize team tasks and manage calendars
  4. Assist with executive support tasks: scheduling, inbox management, and internal communications
  5. Coordinate across departments and with external collaborators to keep projects on track
  6. Identify inefficiencies and proactively implement better processes
  7. Support the leadership team with admin tasks including document creation, research, and light data analysis
  8. Keep everyone and everything organizedlike a pro
What We're Looking For
  • Proven experience in administrative, operations, or project management roles
  • Strong ability to build and maintain internal systems from the ground up
  • Deep proficiency in ClickUp (especially with automations and team onboarding)
  • Hands-on experience with Motion AI for time, task, and workflow management
  • Comfortable learning and using new toolsfast
  • Independent, proactive, and solution-oriented mindset
  • Excellent organizational and communication skills
  • Bonus: Experience in fast-paced, creative, or startup environments
