The

Marketing Operations Specialist

supports the efficiency, accuracy, and compliance of the Marketing department. This role works closely with the Marketing Operations managers to manage marketing-related expenses, maintain project and process consistency, provide support with Marketing compliance audits (federal, state, and agency), streamline projects with prescheduling and automated templates, ensure work flows smoothly through project management and monitoring of various systems, and other day-to-day tasks. The ideal candidate is highly organized, detail-oriented, self-motivated to complete tasks on a deadline, and excited to learn new systems and processes. This role is essential in ensuring marketing efforts are compliant, organized, and scalable. By managing expenses, supporting audits, and improving workflows through automation and templates, the Marketing Operations Specialist enables the broader Marketing team to focus on strategy and execution while maintaining operational excellence. Essential Duties and Responsibilities

Reviews and documents marketing vendor expenses for approval in accordance with internal policies and procedures Reviews monthly Proforma statements and accurately allocate marketing expenses for approval Reviews monthly Marketing Visa statements and accurately allocate expenses for approval Performs documentation of monthly marketing expenses, allocations, and approvals Schedules, manages, and learns to automate recurring marketing projects and tasks Builds and maintains automated templates for marketing projects to ensure consistency and efficiency Monitors various systems for project quality and consistency Performs regular audits of marketing projects to ensure quality, accuracy, and adherence to standards Assists with marketing audits for industry compliance, including state, federal, and agency audits Requests, collects, and archives required audit documentation and reporting Applies proper file naming conventions and taxonomy to ensure materials are easily retrievable for audit requests Supports ongoing compliance efforts by maintaining accurate records and documentation Collaborates with cross-functional teams to support marketing workflows and operational improvements Identifies opportunities to improve processes, documentation, and system organization Assists with various administrative and operations tasks for the marketing department as needed and performs other duties as assigned. Position Requirements

Education

Bachelor’s degree (or working towards) in finance, economics, or other business-related field Experience

Experience supporting marketing, operations, or compliance-related teams Familiarity with audits, regulatory documentation, or experience in a regulated industry Experience with automated tools and workflow optimization Experience with vendors and financial documentation Functional/Technical Skills

Strong organizational and documentation skills with high attention to detail Ability to manage multiple tasks, deadlines, and recurring responsibilities Experience or interest in expense tracking, financial reviews, or budget allocation Comfort working in project management and ticketing systems Ability to follow established processes while identifying opportunities for improvement Clear written communication skills and ability to maintain professional documentation Self-motivated, dependable, and proactive in monitoring work and resolving issues Environmental/Physical Demands
