Job Description We are seeking a detail-oriented and proactive Bid Compliance Specialist to join our team. This role is vital in ensuring that all bid and proposal submissions are fully compliant with client requirements, internal standards, and relevant legal and regulatory frameworks, particularly those involving government procurement.
Review bid and tender documents (e.g., RFPs, RFQs, ITBs) to identify and interpret compliance requirements
Ensure all bid submissions are accurate, complete, and compliant with procurement laws, client specifications, and internal policies
Coordinate with internal departments (Legal, Finance, Technical) to collect necessary documents and certifications
Draft and prepare formal business letters and compliance-related correspondence as needed
Maintain and update compliance checklists, templates, and standardized documentation
Assist with the preparation and renewal of business permits, SEC registrations, bank requirements, and bonding documentation
Monitor bid deadlines and ensure timely and organized submission of all required documents
Support the continuous improvement of internal compliance protocols and document control systems
Stay informed on relevant laws and regulations, including RA 9184 and RA 12009, to ensure ongoing alignment
Bachelor’s Degree in any field
At least 1–3 years of experience in bid preparation, bid compliance, or contract management
Familiarity with government procurement platforms (e.g.,
PhilGEPS ),
BAC guidelines ,
ISO standards , and applicable legal frameworks
Knowledge of business permitting processes, SEC and bank documentation, and bonds is a strong advantage
Working knowledge of
RA 9184
and/or
RA 12009
(Public Procurement Laws) is preferred
Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with document management systems
Strong documentation, organizational, and analytical skills
Effective interpersonal skills and proficiency in both English and Filipino communication
Flexible and adaptable to assist in other administrative or compliance initiatives as needed
