Loan Documentation Specialist

The Loan Documentation Specialist prepares loan documents timely and efficient manner to ensure service level agreements are met and exceeded. Ensure loans comply with all federal, state, and local lending laws. Adhere to the department procedures. Attend and actively participate in all scheduled huddles. Review loans to ensure proper approval and exception levels are met. Maintain consistent, clear communication with the Loan Documentation Manager. Maintain efficient and accurate workflow while also establishing positive working relationships. Major Duties and Responsibilities: Core Values & Culture Commitment:

Reviews loan approval package for special covenants, terms, and other information necessary to prepare loan documentation.

Correspond with Lender/Loan Administrator to obtain necessary information for document preparation.

Review Lender's Title Insurance commitment/search/updates and mortgage related documentation.

Review flood determination and verify flood coverage approval from Compliance is obtained prior to closing.

Responsible for entering loan data and preparing all loan documents required for closing and reviewing for accuracy.

Responsible for preparing security documents such as Deed of Trust/Mortgage, Security Agreement, Assignments, UCC Financing Statements, etc.

Inputs geo-code, purpose, collateral, and call codes to loan document preparation program.

Prepare Loan documentation in accordance with the Loan Doc Prep Procedures. Performance Standards & Delivery:

Required to be familiar with HMDA reporting requirements, identifying loans as such in loan software, and input to loan document preparation program.

Loan Production KPI is approximately 45-50 loans per month (based on monthly loan totals).

Maintain draft doc SLA as follows: Consumer Unsecured and Cash Secured

24 business hours; Consumer Non-RE all others

48 business hours; HELOCs and all Commercial

48 business hours.

Reported error KPI is 15 or fewer per month (10%).

Responsible for reviewing fees and disbursements for accuracy.

Responsible for sending draft documents via nCino to LA and RM prior to QC and document finalization.

Responsible for delivering loan documents to Lender/Loan Administrator via ProSign after draft documents have been reviewed and approved. Compliance & Other Duties:

Complies with all applicable federal, state, and local banking and industry related laws and regulations including but not limited to the Bank Secrecy Act.

Carries out such other duties as may be requested or assigned. Position Requirements and Qualifications: Education and Experience:

1. High School Diploma or equivalent. 2. 5 years of banking and customer service experience required 3. 3 years of related loan processing experience required. Training Requirements (licenses, programs, or certificates):

None Knowledge, Skills, and Abilities:

Excellent customer service skills.

Must be capable of handling confidential information in a trustworthy manner.

Proficient level of computer competency including Microsoft Windows (Word, Excel, Outlook), and typing.

Strong written and oral communication skills.

Must possess the ability to handle multiple tasks simultaneously, with frequent interruptions.

Detail oriented and ability to function in a team environment.

Self-starter.

Must be able to prioritize and organize daily workflow.

Maintains a competent level of expertise and knowledge of the requirements of various lending laws, and rules.

Demonstrates the ability to maintain a positive attitude.

High level of integrity.

Able to maintain regular and predictable attendance.

Willing to accept new ideas and methods and be agreeable to change. Work Conditions:

1. Able to routinely stand, sit, bend and stoop. 2. Frequently and regularly required movements using wrists, hands, and/or fingers. 3. Average, ordinary, visual acuity necessary to prepare and inspect documents or products and operate machinery. 4. Ability to hear average or normal conversations and receive ordinary information. 5. May be required to travel to training sessions or meetings.
