Summary of Position The Experiential Assistant at NVE Experience Agency plays a vital role in supporting both the accounts and production team members, ensuring the smooth execution of events and effective management of client accounts. This hybrid role combines administrative tasks with hands‑on event coordination and client interaction. Key responsibilities include managing project‑specific administrative duties (internal and client meeting note taking, meeting scheduling, etc.), handling finance admin duties such as vendor invoicing, research, and general support to both accounts and production department teams. The Experiential Assistant must possess strong organizational, communication, and multitasking skills, as well as a proactive and detail‑oriented approach to work. This position offers a dynamic and fast‑paced environment where teamwork, adaptability, and creativity are essential for success.
Job Responsibilities Administrative
Coordinate and organize internal and external meetings, including kick offs, status calls, working sessions, and brainstorms.
Manage documentation of meeting notes from internal and external meetings including action items for stakeholders to act upon.
Organize and maintain project files and records, shared folders, and drives, ensuring accuracy and accessibility for team members.
Handle finance administrative tasks related to event projects such as assisting with onboarding new vendors, processing vendor invoicing, and creating POs.
Account Management
Manage deck updates including editing copy, proofreading documents, and ensuring quality.
Assist with managing client inquiries, requests, and changes throughout the planning and execution process.
Begin to build and nurture client relationships, demonstrating reliability, responsiveness, and commitment to delivering exceptional service.
Event Support – On Site
Provide onsite support during events, including during install and set up, event live and load out.
Qualifications
0–1 year of experience
Proficiency in Google Suite (Docs, Sheets, and Slides)
Strong organizational skills and attention to detail
Excellent written and verbal communication skills.
A proactive attitude and the ability to work collaboratively in a team setting
Requirements
Must be able to remain in a stationary position 50% or more of the time while working remotely and in a standing position 50% or more of the time while working offsite
Must be able to work outdoors in various weather conditions
Have a valid Driver’s License
Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds and occasionally heavier items
Available to work weekends and evenings as needed for events
Location We are a hybrid company with hub locations in Los Angeles and New York. The ideal candidate is located in any of our hub locations.

Salary Estimation [$19.50 - $21.00 per hour]
This is a non‑exempt role. NVE intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities.
