Overview Ensures all leased locations are properly maintained as efficiently and economically as possible pursuant to the guidelines of the Lease. Follows up on all Landlord approvals, payment of expenditures to correct emergency maintenance issues and, in the event the Landlord fails to complete the needed repairs, assists and researches bill backs generated to reclaim Tenant expenses for Landlord responsible issues. Assists management with extensive training and documenting current procedures and guidelines.

Our flexible/hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC, Chicago, IL, Quincy, MA, Carlisle, PA, Scarborough, ME, Hyattsville, MD and Mauldin, SC.

Responsibilities

Addresses all Landlord maintenance and repair issues according to operational procedures and Lease requirements in a timely manner.

Provides Landlord with proper notice of maintenance issues.

Follows up on Landlord maintenance issues to completion.

Provides legal notice of default to Landlords, Lenders and Property Managers for Landlord responsible issues not addressed by Landlord as required by the Lease.

Confirms completion with the store managers and/or maintenance techs prior to closing each work order.

Reviews Lease language to determine responsible party and previous work orders to support Tenant maintenance requests to Landlords and to validate notice of default to Landlords. Documents information in store notes and repair codes in Store Services Software for future occurrences.

Works with our Legal Department in the event the Landlord decides to take legal action to prevent the requested issue or to assist with interpreting the Lease language.

Researches and provides notice of default to Landlord for maintenance issues not addressed pursuant to the Lease guidelines.

Obtains bids and awards contracts to cure default and/or emergency issues. Reviews quotes to ensure each quote meets the scope of work. Generates the scope of work and obtains quotes to have the work completed if the Landlord fails to cure the default.

Submits Vendor invoices for payment of Tenant contracted Landlord responsible issues.

Researches and generates bill backs to Landlords for work contracted by Tenant as emergency or default issues.

Assists Landlords with request for Tenant to complete maintenance issues.

Researches and processes Customer complaints relative to Landlord maintenance.

Enters work orders and addresses Landlord responsible issues related to store renewals and Brand locations; i.e. additional attention to landscaping, pavement, exterior building, lighting upgrades and re-lamps.

Researches and provides Real Estate with the current conditions of Landlord responsible issues in response to locations requiring an Estoppel for the Landlord to sell or refinance a property.

Researches and enters work orders to support request for Landlord approval to make changes to the property. Documents each request and submits for Landlords signature to approve the changes. Follows up on each request and provides additional information if requested by Landlords.

Creates files and filing copies of all electronically stored information related to Landlord maintenance issues and approval in Virtual Premise.

Consults with Engineering to determine documents needed to support current conditions at specific locations and to identify previous work completed by Tenant, establishing responsibilities.

Consults with Construction to determine work completed by Tenant vs. work completed by Landlords to establish responsibilities.

Additional job duties may be assigned as needed to meet the needs of the business and support our Values.

Requirements

High school diploma.

1 to 3 years general office experience.

1+ years' retail experience.

Accounting experience.

Superior written and verbal communication and interpersonal skills.

Highly developed organizational and analytical skills with ability to manage multiple tasks simultaneously with excellent follow-up and attention to detail.

Ability to review and analyze lease language.

Ability to work across all levels of management and staff.

Ability to maintain confidential information.

Ability to prioritize and delegate tasks according to the goals and objectives of the company.

Ability to read, speak and comprehend the English language.

Understanding of the commercial real estate industry.

Knowledge of the financial impact of activities and ability to communicate.

Knowledge of property and building maintenance and repairs, contract bidding and negotiations.

Proficient in Microsoft Office including Word, Excel and Outlook; Internet; Store Services Software; Virtual Premise; Workflow.

General knowledge of accounting principles.

ME/NC/PA/SC Salary Range: $16.97 - $25.44

Actual compensation offered to a candidate may vary based on their unique qualifications and experience, internal equity, and market conditions. Final compensation decisions will be made in accordance with company policies and applicable laws.
