Description of Work The Administrative Specialist serves as the office manager for the Business Enterprises Program (BEP) within the Division of Services for the Blind.

This position provides comprehensive administrative support to program leadership and staff, ensuring efficient operations and compliance with established procedures.

Responsibilities include managing office workflows, maintaining accurate records, and supporting communication between internal teams and external stakeholders.

The role requires proficiency in office technology, strong organizational skills, and the ability to work independently in a fast‑paced environment.

Key Duties

Answer phones, retrieve and distribute mail, greet visitors, and manage front‑office functions.

Compose letters, memoranda, emails and other correspondence independently.

Maintain up‑to‑date files and records in both physical and electronic formats.

Perform data input and retrieval for program operations.

Provide basic technical support for computers, software programs and office equipment.

Make copies, file documents and complete other administrative tasks as assigned.

Support BEP staff, consultants and licensed blind operators with administrative needs.

Assist with scheduling and coordination of meetings and program activities.

Ensure compliance with program policies and maintain confidentiality of sensitive information.

Preferred KSAs / Management Preferences

Demonstrated expertise in Microsoft Office with emphasis on Outlook, Word and Excel.

Proven ability to communicate effectively in verbal and written form.

Strong customer service experience.

Skilled in compiling, organizing and analyzing data for reporting purposes.

Proficient in utilizing april office equipment and technology to meet organizational needs.

Compensation and Benefits Pay Grade Range: $37,782.00 – $66,120.00 Recruitment Range: $37,782 – $46,000.00

Minimum Education and Experience High school diploma or General Educational Development (GED) diploma

and

two years of related administrative experience; or an equivalent combination of education and experience.
